How I run my business with Asana
In this video, I share how we use Asana in my business to organise the work we're doing and to communicate as a team.
In summary:
• Everything we need to do is stored somewhere in Asana. i.e. there's a place for everything.
• We use Asana in meetings to store notes and assign tasks.
• When we're on a Zoom call with a client, we can store notes and record action steps inside a task in Asana.
• I have a saved search where I can see all the tasks assigned to my team.
• All internal communication goes through Asana. This means when we are planning our work or checking on the status, we have all communication in one place rather than in email or Slack. We still use email for communication with clients.
• We've linked Pipedrive and Calendly via Zapier so that when we win a new deal, or a client
books a call, tasks appear in Asana.
• We use templates for things like content and recurring tasks. This helps us follow a consistent process every time.

Hey Paul, great video! Is your Calendly-Zapier-Asana flow matching a task based on the email from Calendly if I may ask? How about when person 2 for a company books a call?

Yes it does. When person 2 books the call, Zapier won't be able to link the subtask to the task. So I have to manually make it a subtask of the parent.
Thank you for the video, in the last video section "Working with templates to standardise our work" how could you make sure all team members saw those tasks?

Generally the templates are just for me as I'm the one creating the tasks. Then I assign the task to the relevant person and that's how they see it.
Hi Paul! helpful and useful tips as always! thanks! i'm wondering about the storage of Asana in keeping all projects, pictures, information - how are these stored and how much space do we have? coz for past year's projects and exchanges with team, we still want to have access on them so deleting them is not an option. if we archive - is it easy to access?

There isn't a limit on the amount of storage you can get. Yes, feel free to archive and you'll be able to revisit these projects later. I'm still able to go back and see tasks from almost 10 years ago.

Yes, I store my SoP's as task templates (like the example in the video) or as project templates.

Asana is always updating in the browser so I'm on the latest version. No major update recently from what I can tell.
