Automate Custom Certificates | Airtable and Documint 🪄

If you need to produce certifications in a PDF (or similar) file, this video walks you though the automation process. I combine Airtable (to store the data and create the automation) with Documint (to create the file). We then submit the file to the student/user through email. 👇

    I've been slacking on keeping up with your videos! But I always learn something new when I do. I don't even need to know how to automate a certificate, but I had been wondering if there was a way to delay automations in AirTable. Just got my answer. Thanks!

    The pdf is not generating on the airtable certificate field. i am using airtable paid version but the documint is not upgraded

    Great video! Is it possible to do something similar to this with QR Codes where they will automatically generate when a form is submitted? I know that there is a QR Code generator extension in Airtable, but is there one that uses automations that does not need to be manually pressed to generate a QR Code? Thanks!

    Hey Tim, I don't know of one that integrates directly with Airtable, but I'm almost positive you can integrate with an automation in Zapier and find a QR code generator to help out!

    Thank you for your video. I am a big fan of your channel. I wonder if documint can save the certificate as image file jpeg or png. Or for that matter, if there any other tool that can automatically convert pdf to jpeg integrated to airtable

    We have a CRM that is called cogito, What i need to integrate your automation to our crm so it can generate automatically the cerfiticated for the students that change the level! Is it possible?

    We don't use Cogito, but you can check if it has an open API and/or automation options with Zapier or Make.com. If so, then you can automatically move the data you need from Cogito and create these certificates!

    Unfortunately the NOW() function doesn't update regularly enough, especially if the Base is closed, for it to be used for my purposes. Looks like I'll need to just use an email from Make or some other workaround. I used your workaround with an Airtable automation & script action to trigger a Make webhook so that you can submit me a form with an image(s), and it'll resize, compress (TinyPNG) and convert to WebP. I needed something to speed up sizing and converting images for websites and for letting clients resize and convert their blog images.

    This is incrediblly useful information. Thank you for sharing! This is what I am understanding from this: If you send a user a link for a digital copy of their certificate, they will be prompted to provide their name and email in which the documents are sent to their email two minutes after submission of given information. My questions to you are: Does the user have to provide their name and email to you beforehand so that the filled in form by the user matches already inputted records for that specific user? What happens when the filled in form is inputted incorrectly or by another user? Lastly, do you think (hypothetically) it is possible, in the case of a Certificate of Authenticity for example, to use a QR code that sends the user to the form (in your example) that they must fill in that if inputted correctly will send a digital COA confirmation as means of verification? I appreciate any feedback you have immensely! I am now a subscriber and will be looking out for more informative videos such as this one! Kindest regards!!

    Hey there, thanks for the comment! Answers for you: 1. In our case, the user is asked to fill out the form after they completed training. We don't need their info upfront. Only when we want them to fill out the form to get the certificate. 2. If the form is filled out incorrectly, the certificate will either go to an invalid email address (and not be deliverable) or it will go to a valid email address. There is no way to confirm that the email is correct before sending an email. 3. A QR code would work to send a user to the form - that part is simple enough. The harder part is testing their information. The form can't do data validation, so there's no way to make sure everything is correct. That said, you could get emails upfront, fill them out in the form with a prefilled URL and then hide the field so that users can't change the email address you have on file. This would be more complicated, but might be beneficial in your use case. Hope this helps! 💪
