New Jersey Cybersecurity & Communications Integration Cell
cyber.nj.gov/
NJCCIC Members,
As more individuals transition to remote work, threat actors are targeting various popular video-teleconferencing (VTC) platforms that facilitate communications in a remote environment. Zoom, in particular, has been a target as of late, taking advantage of weaknesses in the platform’s default security and privacy settings. There have been recent incidents of VTC-hijacking, also known as Zoom-bombing, in which unauthorized persons gain access to a teleconference and display lewd, threatening, or otherwise inappropriate images and language.
To create a more secure VTC environment with Zoom, the NJCCIC recommends the following:
• Require a password for all meetings and securely share that password only with your invited guests. Once set, guests must enter the passcode in order to enter the meeting. This will prevent unauthorized individuals from joining a meeting.
• Use waiting rooms. This allows the meeting host to verify those attempting to gain access to the meeting.
• Do not share your meeting IDs. These are unique to individual users and could be used to determine when a meeting is currently in progress.
• Send links to meetings directly to individuals and do not publicly post meeting links. This could allow unauthorized individuals access to your meeting, particularly when other security settings are not in place.
• Disable participant screen sharing or file sharing. This will prevent your meeting from being hijacked by others and allowing the sharing of inappropriate content.
•Lock meetings once everyone has joined. This will prevent unauthorized users from gaining entry while the call is in session.
• Avoid posting photos of your Zoom meetings. This could provide threat actors with the associated meeting ID and information on who is attending your meetings.
• Disable the “Allow Removed Participants to Rejoin” option. If an unauthorized participant is identified and removed, this will prevent them from regaining access to the meeting using the same account.
• Do not use your Facebook or Google account to sign into Zoom. This will help protect your privacy by limiting the amount of information Zoom, Facebook, and Google can collect about you.
• Beware of Zoom-themed phishing emails. These may purport to be from Zoom and direct the recipient to open a malicious link or attachment in order to deliver malware or steal user credentials.
• Keep Zoom updated. Enhanced security and privacy features may be applied. A recent update enabled meeting passwords by default, for example.

Thanks Steve. We have used Zoom for a few years now. We had already added most of the tweaks you suggested, but I spent a bit of time this morning going through my settings and doing just a bit of updating. I was pleased to see Zoom take of in popularity, and I have been impressed so far at how well they are managing the load and security concerns.

Thanks for following up on the Zoom breaches because it is an issue that is not very clear if it's a safe software or not but as you said one has to take steps into making their own meeting safe. Keep the videos coming.

Well done, Steve. I am from India. I hosted 18 zoom meetings last month and before the first few meetings some of my guests expressed reservations about the security aspects of Zoom. With the Dragon on the prowl this kinda reaction was expected. I allayed their fears, but took some of the precautions you outlined in this video. Everything went hunky Dory! Thanks for vindicating me & giving some more tips. Great job & keep Zooming 👍

Excellent overview of security. I am new to Zoom, trying it out for the Sacramento German Genealogy Society. Your video page link was sent to me by a volunteer from a different local genealogical society who is doing the same. My settings were in sync with your guidelines - but I will be checking that file transfer is off. And your commentary about the waiting room was very useful - especially that attendees there being able to view but not participate in the meeting. I am developing plans for three meeting types - formal webinar (no audience participation), webinar Q&A session (controlled audience interaction) and committee meetings (free for all but all participants are known).

Hi Steve! You are a recent find (while researching WebEx) and I truly appreciate your wisdom and excellent teaching ability. I'm a long-time Zoom customer and appreciate how easy and clear you made this for us, and the tips shared. My concern is not about you, but about Zoom , as I'm shocked they 1) Did not consider security properly before getting busted 2) Have not been forthright about their issues (e.g., end-to-end encryption to Facebook data-sharing) 3) Without notice, discontinued their 24/7 phone support for all paid accounts (now only Business. AFter 4+ years of excellent phone customer support, I spent 8+ hours on LiveChat) Not feeling good about Zoom integrity and why we should believe they are taking care of things now? #zoomdoesnotcare

Thank you for this. I provide individual Zoom trainings like this & appreciate yours being thorough & engaging. I have only one issue with what Zoom & you are sharing: embedded passwords are useless. Zoom registration confirmations state “this link is unique to you. Do not share it.” False, anyone can use them. An embedded password is akin to leaving your house key in the front door lock. I prefer to put the key under the planter in the backyard, that is to say, sending the password under separate cover.

Thank you. I am an online teacher, and have been since pre-covid. We (I am employed by a large international private school to teach mathematics), use the adobe connect platform as a teaching and learning environment, but due to its increased popularity at this moment in time connections can occasionally be overloaded. The direct result is that we have zoom as a back up just in case. Many of our staff are new to this, and it has been a struggle. I was in a Zoom meeting with Mac users yesterday (16 hours ago) and we determined that we couldn't used File Sharing within Chat even though that setting had been available a week ago. The Zoom support section said we needed to be running version 4.6.10 to use that feature. At the time, though, the current version for the Mac was 4.6.9! Sometime in the last 14 hours, the 4.6.10 update was released & File Sharing is once again available in Chat.

Hey Steve! I'm enjoying your easy to follow discussions regarding Zoom. Our university (I'm a manager for simulation program) has started using an integrated version of Zoom where it enhances both security and user management to emulate a telemedicine scenario. When schedules are created for simulation-based educational activities, when enabled, it also schedules and encrypts a URL for the Zoom interface. I've been asked about the question of security and privacy just as you have, and I have clarified that if configured correctly, Zoom settings can address such vulnerabilities. I think Zoom gets a bad rap simply because of uninformed responses to problems users have had. Quite often a negative experience in any context, not just Zoom, provides a user with fodder to toss some hate around. I'm not aware of any platform that does not inherently have some risk. It speaks to the need for the user to be as informed as is possible and do their due diligence. Gossip (uninformed communication based on hear-say) creates a greater risk for user and platform.

Great advice Steve. Definitely going to use a lot of these protocols when I’m meeting with my work colleagues. I did watch one of the Zoom hack videos on YT and was really angry at the racial and pornographic content that was being displayed, usually by misguided youths. So thanks again for this buddy. We love Zoom and are glad that the developers are working to fix this problem. Great channel, great content, what’s not to like? Stay safe buddy...⭐️⭐️⭐️⭐️⭐️

Steve, I would normally make a somewhat negative comment about a video with a title like this one, but in this case, I applaud you. I hope some of the folks who came looking for muck to rake stayed and watched the whole thing. Zoom and others have become invaluable during this time and just knowing how to manage them a bit makes all the difference in the world. I wish KZread allowed Two-Thumbs up because that's what I'd be giving you!!! Great job, Steve!!!

Your videos are a pleasure to watch. You're an excellent instructor, thanks. At 10:45 when you discuss Waiting Rooms you said that Participants in that Waiting Room can hear and see what's going on in the Meeting - but they're not able to engage with anyone. It's my understanding that this is incorrect - those in the Waiting Room only see the title, logo, and description for the meeting, provided the Host has elected to include those items in the Settings/Waiting Room option. Participants in the Waiting Room are essentially there in solitary confinement until the Host chooses to admit them to the meeting.

Thank you for another very informative video as a newbie when it comes to Zoom although we are now using it and learning quickly. Everyone in our organization is on edge when it comes to Zoom since one city council meeting in our state was hack and inappropriate images shown and a our adjacent had a high school class meeting hacked under similar circumstances.

Hey Steve! literally less than 5 minutes after I watched your video yesterday about "Zoom bombing", I went outside the room and I saw my wife was waiting for the LIVE STREAMING on ZOOM and live-streaming it thru KZread. The speaker seems doesn't familiar with all the set up for live streaming. While he was setting up the Instagram video, the zoom already ON AIR, and I have a bad feeling that something crazy might appear on the screen as I see many activities happening on the screen (e.g. drawing, and random people's pictures), I saw the speaker didn't notice what was happening as he was on a phone call. I tried to contact the admin by texting the chat room on youtube live to warn him about the "Zoom bombing" that I had just literally watched 2 minutes ago. Before the admin read my text, a bad pic appeared. But at least finally, the admin notices it and told me that he will take it out, edit it and repost it online again. I never know about this zoom bombing two days ago, and now I am like a hero to the speaker's admin. But all this praise and thanks they give me should be credited to you, Steve! You made that video, and I watched it for the right moment and saved "the speaker's teachings" from eternal embarrassment online! Good job, Steve! I love all your videos. it's funny too!

Thanks for your useful tips. I have recently started using zoom to teach online yoga classes and wondered if you could recommend any good wireless mics? When I replay my video it is a little quiet and the sound is slightly distorted. I also wondered if you know of anything that you can attach to your computer to make you look larger on screen. I have to be back approx 2m from the screen in order to fit my whole body in when teaching so it looks like I am far away. I am using an apple mac computer. I have tried reaching out to Zoom but they must be incredibly busy with calls, as have not heard anyhting back for about a week. I would really appreciate if you are able to reply. Thanks, Michelle

The main thing is to get a goob audio usb interface that plugs into your computer. Focusrite Scarlett 2i2 - You can then spend $100 to a $1000 on a wireless microphone setup.

I did not know that is happeing? Check your defaults: Click your profile picture . Click Settings . From the left-hand Menu, click Playback and performance. Check or uncheck Always show captions. Check or uncheck Include auto-generated captions (when available). This option turns on or off automatic captions for videos that don't have captions added.
