Manage multiple calendars in Google

In this tutorial, I show you how to manage multiple calendars in Google Calendar, including how to: show or hide events for specific calendars, change the calendar colors, manage Google Classroom calendars, add standard calendars with holidays or sports schedules, unsubscribe from or delete calendars, and add calendars from an embed or a link.

Can i share to the public more than one calendar at a time or with the same link, instead of sharing each calendar separately? (for example: activities, lessons, trips, etc)? We want to share several calendars with a very large group of people (church group).

I have more than 20 calendars subscribed. If i want to display just one calendar temporarily, and then don’t want to check back all 19 again, is there a way? Or is there a way i can create some filtered view which just shows 3 out of those 19?

Sadly no. You can easily show just one but there’s no quick way to turn them all back on again.

Thanks for the video. I still have a question and hopefully you can help. I have my business cal and my work cal. I have shared them with each other. Every thing looks good. They are overlaying each other. I have both calendars set up for clients to make their own bookings. My problem is that I’m getting double booked! If I merged the 2 together, how can I allow both accounts to share the same availability and recognize a booking from one another?

You didn't say what tool you are using to do bookings. I am guessing you are using either Appointment Schedules or Appointment Slots in Google Calendar. I am not as familiar with those, but I have an idea. You may need both calendars to be on the SAME Google account. Since you said they are shared with each other, that makes me think you are using 2 different Google accounts. I read that Appointment Schedules also allows you to create 2 different booking pages for the SAME calendar, but that is a premium feature. Other than that I believe you would need to look at an outside service to manage bookings without conflicts on multiple calendars. I have used the free version of YouCanBook.Me, and I like it. It can do what you're asking in the premium version.

Yes! Sorry, I missed your comment. You can import to Google Calendar. You would either need to export as ICS from a calendar program, or do what I do and import from a CSV you create yourself. My directions: bit.ly/4akz3hu Google's directions: bit.ly/3K23nmA Sample file: bit.ly/3yj9D6R

It could be that the others are shared with your Google account and not owned by your Google account. On the left they’d be listed under “other calendars” rather than “my calendars.”

No, there is not a way to do that. When you subscribe to someone else’s calendar you are simply viewing their calendar and cannot make changes to it.

Hi, Anna! Thank you for the interesting video! I have just discovered that I can see on my google work calendar all the events I have saved on my personal calendar that I keep on my Samsung phone. Do you know if there is a way to separate them? I don't want my personal events to be visible on the work website. Probably my phone calendar was synced with the one from work. Do you know how to un-sync them? Thank you in advance for your help.

Since your phone is Android, the personal calendar on it is likely a Google calendar. I don’t use Android so I’m not really sure, but I’d look on the left in the list of calendars and see if the personal calendar is listed under “other calendars” as a shared calendar. If so you may be able to click the 3 dots and choose to remove it from the work account.

@@amcolley Thank you, Anna, for the prompt response! I ended up downloading another calendar. It's weird because, even though the calendar on my Samsung phone is probably a Google calendar, I can't see it listed as a different one on my Google work account. Actually I have 3 different Google accounts (including the one from job) and my default Google account is one of the two which are personal. I don't use the calendar on any of them, but I use the one from my phone. So, if it was necessary to sync my phone calendar with a Google one, it was logical to do it with the default account, which is not the job one. Anyway, I don't have anything to hide, but I don't want all my colleagues to know when I scheduled my bills pay or doctor appointments; it's just a matter of privacy. A few months ago our company introduced the 2 ways authentication process in order to get access to the work email. We get a code through a text message to verify our identity. I guess at the beginning of this process they got somehow access to my phone calendar. Thank you anyway for trying to help and have a nice weekend!

@@m.zurlita3473 Well just so you know, the calendars you see aren’t open to everyone at work. Even if your organization has the calendars set for sharing to help with setting meetings, it likely only shows free / busy and not any details.

@@amcolley Thank you for the information, Anna. Still, I prefer not to mix up the business with my private life and now, with the new calendar (which is not related to Google) I can keep them separated. Have a good week!

thanks so much for your thorough and easy to understand videos and for sharing your gifts! two questions: 1. how to view shared google "other calendars" side by side in the Day view. (rather than another calendar's events showing up in my personal calendar.) 2. how to change the order of "other calendars" . i think i used to be able to drag and drop to move their order and now i can't. i'm in windows 11.

  • @amcolley

Not great news on either question...TL;DR - the answer to both is that Google doesn't provide that functionality. For the Day view, there is an option in Settings > General > View Options that says, "View calendars side by side in Day view," but it appears to me that it only shows your own calendars side by side and not other calendars. For rearranging other calendars, I don't see any way to do that. It appears to me they are in alpha order except for the Google Classroom calendar I have showing which is on top.

How do I unsync two google calendars that are on the same calendar? My wife has our family calendar and her business calendar, but she does not want us to be able to see her business calendar, how do I unsync the two without removing one from the calendar completely?

  • @amcolley

If you mean that when you login to Google Calendar online, you see both calendars in your view, and you don't own the calendars, then they are shared with you. Your wife can unshare the business calendar from the family by going to Settings and Sharing and removing your email addresses. If you or the kids are logging into your wife's Google account to see them, you and the kids will need to log out of her account and then have her share the family calendar to you and the kids' personal Google accounts through Settings and Sharing.

It sounds like both of your accounts have view rights on each other's calendars. As long as you see the calendars listed separately in the list on the left (and can hide/show them individually), they are separate calendars. You can choose to share just one of them and the other user(s) will only see the one you've shared.

If you've subscribed, it sounds like it's not your calendar. You can only add an event if the owner gives you that type of permission. If you have permission to add events, you will see that calendar as an option in the calendar dropdown when you create an event.

I have created a Google calendar for my child’s school timetable; however, having created it, I can see it listed, but I can’t figure out how to edit it…? How do I add events just to that calendar (so I can choose whether to see it with events in my main calendar, or to not see it)? Despite having this new calendar I’ve created, I don’t seem to be able to add events to it. Help!
