    I dig the concept of using Asana as a knowledge base, and the way you have this setup looks like it would work well. The only thing I'm thinking is newer people accidentally closing tasks / subtasks as complete. Maybe there's a strategy there to use these as task templates, and assigned through some onboarding process so it protects the main content.

    Hey Nathan, that's a great question and though it's not perfect, there is a way around that. Though anyone on our team CAN submit a new SOP to be documented, you may want to select a few key team members to be the ones that manage this process. The way around this would be to make the other members of the team "comment only" so that can't make changes. We do do that, of course, because we want everyone involved in the process and for us it's about communicating how to us the tools. You could also create a rule in that project that when a task is completed that it incomplete any tasks. That's a simple automation that would revert the completed task back to normal. You could then also add a comment to say something like. "Nah uh uh, you shouldn't be completing any tasks in this project. Please ask for help if you're looking to make a change." or "Please watch this video to know how to manage the SOPs in this project. Hope that helps!

    Hi! How do you have like a picture of the 'task name' on the board view?

    To add a picture to a task in Asana's board view, you'll want to open your project and click on the task where you want the image to appear. Then, in the task details pane, either drop your image or click the paperclip icon to attach the image file. Once uploaded, the image will show up as a thumbnail on the task card in the board view. If you have multiple images attached to one task and want to choose a specific one as the thumbnail, simply right-click on the task and select "Choose cover image". Hope this helps!

    Ahh, good question. That is the view when you switch to board view. Asana then organizes the subtasks that way so you can use the drop-down field.

    For a complex project like a website build, we use an Asana project template that includes all of the standard tasks that need to be completed. Is there any way to overlap that workflow with what you have shown here for SOPs -- because I really like how you have Asana set up for knowledge management, and I think it would be helpful to have a place where we can track "Up to Date" etc statuses for the website build steps that still need SOPs, need updated SOPs, etc.

    The best way would be to have a task with a link in the template project that links to the relevant SOP. Or you can add the link to The Overview tab and house that in the description.

    I love your videos i have a team of 6 and i need to get projects organized, I want to jump into Asana, do you have a video explaining pricing... seems like I can use the free version since I only have 6 people... but am I missing something? The pricing is confusing me. We want to use goals and timelines.

    Hi Andrea, thank you for your comment! You could use the free (Personal) plan, but you won't be able to have the Timeline view or the Goals feature. Timeline view is available in the starter plan. And, if you need both the Timeline view and Goals, you would have to go with the Advanced plan.

    Ahh, great question. Those are images that I created in Canva and used as the task cover image. That is not an Asana feature. Just something fun that I did to make the project more dynamic.

    Did you create multiple workspaces for Clients, Finance, Operations, Learnings Commons, etc...? If yes, how did you add multiple workspaces to favorites? Asana only allows me to add one workspace as a favorite in the sidebar (the currently selected one). If I go to another workspace and add it as a favorite, it's only displayed as a favorite in that workspace.

    Yes. Each department is its own Team. You should be able to press the star to add it to your side panel. What plan are you on?

    Hats correct. Yes, to access different Teams, you need to be on the paid plan. The free plan would only give you access to one one team for anyone in your workspace.

    Hi this video was really useful I have 2 questions if you can help me with it it will be really helpful Let’s say we create a template for Accounting and Finance We write down all of the SOP in that folder Is it possible to restrict access because we wouldn’t want our users to know all accounting processes only processes that are relevant to them 2. You said you review your SOP on a quarterly basis How do you remember which SOP needs to be reviewed and needs to be updated when there are so many SOPs

    1. You would need to put the private SOPs in another project. 2. We use a custom field that shows the status of the SOP. When we do our quarterly audit, we update the status based on how relevant the information in the SOP still is.
