Hosting A Zoom Meeting For The First Time-A Cozy Step-by-Step Guide

Even if you've joined a Zoom meeting before, hosting a Zoom meeting for the first time can be overwhelming. But not to fear! In this cozy step-by-step tutorial, Thomas from Cozy Grammar explains everything you need to know to get started. You'll find an index to all the steps below:
0:07 Welcome!
0:33 Another kettle of fish . . .
1:00 Ask Cozy Grammar.
1:10 We can learn to do anything if we take it step by step.
1:34 TIP ONE: Keep something beautiful and natural in your workspace.
1:42 Step One: Sign up for a Zoom account and download the Zoom app.
If you haven't done this yet, you can find instructions in our video on "Joining a Zoom meeting for the first time":
• Joining a Zoom Meeting...
2:23 These steps work the same for both free and paid accounts.
2:47 Step Two: Go the Zoom website to set up your meeting.
3:24 Step Three: Give your meeting a title.
3:34 Step Four: Set the date, time, length, and time zone for the meeting.
3:44 Step Five: Generate the meeting ID automatically.
3:56 Step Six: Require meeting password.
4:07 Step Seven: Set video for host and participant.
4:24 Step Eight: Set essential meeting options.
4:44 Step Nine: Save the meeting.
4:50 TIP TWO: Stand up and stretch!
5:01 TIP THREE: Build some stretch and hydration breaks into your meeting.
5:12 TIP FOUR: Refresh your eyes by looking into the distance.
5:49 TIP FIVE: Think about where you want to place your computer.
6:03 TIP SIX: Make sure you have good lighting in front of you, on your face.
6:26 Step Ten: Share the meeting link with your guests.
7:25 How to set up a meeting in the Zoom app directly.
8:09 Step Eleven: Start the meeting.
8:17 Step Eleven, Part One: Start the meeting from the meeting link.
8:22 Step Eleven, Part Two: Start the meeting in the Zoom app.
8:34 Step Eleven, Part Three: Start the meeting from the Zoom website.
9:05 A Clockwise Tour of the Controls
9:21 Step Twelve: Adjust audio and video settings.
10:04 TIP SEVEN: If people have trouble hearing you, try adjusting your microphone volume manually.
10:37 TIP EIGHT: If you want a clear recording, leave "touch up my appearance" unchecked.
10:57 Step Thirteen: Adjust your security settings as needed.
11:22 TIP NINE: "Remove participant" can be helpful in case someone needs to be taken out of a meeting, but remember that this is a fairly final step and it will be difficult even for you to readmit that participant.
11:43 Step Fourteen: Admit participants into the meeting from the waiting room and manage participant options.
12:47 Step Fifteen: Rename a participant if needed.
13:30 Step Sixteen: Mute all participants if needed.
13:40 Step Seventeen: Adjust chat settings.
14:25 Step Eighteen: Share your screen with the other participants.
14:40 TIP TEN: If you want to share audio or video, be sure to select "Share computer sound" and/or "Optimize Screen Sharing for Video Clip" in the share screen options box.
15:06 Step Nineteen: While sharing your screen, move the smaller video screen wherever you'd like it to be.
15:32 TIP ELEVEN: You can adjust the overall settings for the chat box in your account on the Zoom website.
16:12 Step Twenty: Stop sharing your screen when you're done doing so.
16:20 Step Twenty-One: Record your meeting if you so desire.
16:44 Step Twenty-Two: Toggle in and out of full-screen mode.
17:12 Step Twenty-Three: Toggle between gallery view and speaker view.
17:45 TIP TWELVE: Your recording will reflect whichever view you've chosen, so choose between gallery view and speaker view as needed for your recording, if you're making a recording.
UPDATE: We now have our own step-by-step guide to setting up breakout rooms in Zoom for the first time:
• Setting Up Breakout Ro...
19:04 Step Twenty-Four: Stop the meeting and allow the recording, if you made one, to convert before moving to wherever you want to keep the folder with the files.

    Thanks very much for your comment! We appreciate it. One thing you can try is to set up a practice meeting with a friend. That way you can explore the process without the pressure of having to run a real meeting at the same time. You can also make a recording of this practice meeting to review afterwards. The main thing, though, is simply to jump in. Once you've given it a try, it will definitely feel less intimidating. Do let us know if we can be of any further help: www.cozygrammar.com/contact/ Your comment has gotten us thinking about possibly putting together practice sessions for individuals or small groups. Would this be of interest to you? Do let us know. Thanks again for your comment, and all good wishes to you.

    Many thanks for your comment, Joanne. Yes, there certainly is. While you can Google something like "games for Zoom meetings," it's also fun and a more festive challenge to try "translating" games that you already enjoy as a family into a Zoom meeting. For example, you can play a game like charades, pictionary, or dictionary by making use of the private chat function. Once you have your teams, you can share the word/idea/image with only your team members. Hope this helps, and Happy Holidays!

    Hi, It is also very important to show people how to "True Mirror themselves" (non-reversed mirror mode)! Here is the "How to" by John Walter the maker of the True Mirror: "Did you know you can change the reversal of your own video on a Zoom call? It normally defaults to a mirrored version, because in typical fashion, Zoom, along with most selfie picture modes, assumes the common notion that we prefer our backwards, mirrored image. It's usually mainly because we are used to it, but there's a problem with that: Our faces just don’t communicate naturally backwards, our expressions really look and feel differently when flipped.

    I want to manage my contacts list (e.g. to delete a faulty eddress) but have not been able to do so, nor see a path to do so. I would also like to be able to send meeting invitation to all contacts at the same time. These two points seem to be a "manage contacts" list. Whenever I set out on a search on Zoom or via Chrome, etc., it leads nowhere. Any ideas, please?

  • @CozyGrammar

    Many thanks for your message, Renee. These are great questions. For your contacts, try right-clicking over the contact you wish to remove (it may be control-click if you use a Mac). Then the option to delete contact should appear. You may also see three vertical dots at the right side of each contact. Clicking there opens a menu that includes deleting the contact. As for sending an invitation to all contacts at the same time, this article may help: blog.zoom.us/feature-spotlight-messaging/ I don't have personal experience with it but imagine it's worth taking a look at. Good luck!

  • @CozyGrammar

    @CozyGrammar

    Many thanks for your question. If you're referring to saving a meeting invitation, "clipboard" is simply a way to refer to what has been copied and can therefore be pasted. Between being copied and being pasted, apps refer to it begin on a "clipboard" (though of course this isn't actually a clipboard). Does this answer your question? If not, be sure to let me know and I'll try again!

    What is the difference between free sign up and paid account of Zoom... How many participants can join a meeting by using a free account....and is there a time limit without paying any money....Thank you !

  • @CozyGrammar

    @CozyGrammar

    3 жыл бұрын

    Great questions! The main difference between the free and paid accounts is that the free account has limits on the length of a meeting when more than two people are involved. The free account allows meetings of more than two people for up to 40 minutes. It also allows up to 100 participants per meeting. The paid account allows much longer group meetings as well as more participants. Hope that helps clarify the options!

  • @CozyGrammar

    @CozyGrammar

    3 жыл бұрын

    Hi Denise, thanks for your comment. Recording a meeting on Zoom can be a little tricky, but here's what we've found to work. Zoom basically records what you yourself see, so start by making sure you're seeing what you want to have recorded (speaker view or gallery view). Then, if you want the video to focus on just yourself or on someone else you can pin their screen. To do this, you click on their video screen and right click (on a PC) or simply hover (on a Mac) to get the option to pin. Then no matter who talks, the video you've pinned will be recorded. Hope this helps!

    @@eileensugden9418 Many thanks for your comment and question. I believe that on an iPad you will need to select the participant icon to admit people into a meeting. On the iPad, this icon will be at the top of the screen rather than at the bottom. Once you click this icon, you will see the option to admit new users. Under “Meeting ID” at 3:47, it says “Meeting Password” on his screen. Has Zoom changed things since this video was made? But on my screen, it does not say “Meeting Password”. It does say SECURITY. There are 2 options. First option is “Passcode” (only users who have the invite link or passcode can join the meeting. The second option is “Waiting Room” (only users admitted by the host can join the meeting “. I had no idea which option to choose. I went with “waiting room” cuz that is what he had mentioned in this video. Good luck, everyone. We are under lockdown now for a month. I just want a meeting with my friends. It is tough being alone in this situation. Best wishes.

  • @CozyGrammar

    @CozyGrammar

    3 жыл бұрын

    Thanks for this comment, Jango. Yes, the format has changed slightly since we made this video. Waiting room simply means that after you begin your meeting you will need to admit each participant individually. This is so that unknown users don't accidentally enter the meeting. Passcode, on the other hand, frees you from having to admit each person individually. Either one can work fine. All good wishes to you and have a great time with your friends! Together we'll get through this tough situation.
