    The tip about 'sheet views' (6:30) will help immediately. For some reason, up until this point, when I turn on filters, my view is showing on my colleague's screen. If I filter to just one category, my colleague's view filters to that category. Even worse, sometimes that colleague cannot clear filters! This does not happen on my other colleague's view. Why is this the case? What does colleague 2 do differently? As an immediate solution for colleague one, I will use this approach of creating my own view *first*, then filtering. Thanks Mynda!

    There's no security feature in Excel that does this. At best you can lock the cells in that column and give the password to the user you want to allow to edit it.

    Glad you liked it! Guest users can edit in Excel online (I think). You can test it in a browser. Make sure you’re logged out.

    Hi Pankaj, at a minimum you should know Power Query and Power Pivot. You can see these tools in action in some of my Dashboard tutorials, and all of my Power BI tutorials, as Power Query and Power Pivot are integral to using Power BI.

    Can you also track rows that are deleted while transforming data using PowerQuery? Example: I have two row with duplicate IDs, but other important information still exists in the other columns. Using PowerQuery, I can remove the duplicate row by id. However, I would like the deleted row to populate to a new a table so I can find the correct ID. Thank you in advance!     You could number the duplicates and then separate the records numbered 1 and records numbered 2 (the duplicate records) into separate tables.     Dear Mynda, Thanks for another great video. I have had three ocassions on different users that people co-authoring in Excel Desktop, Excel Online and Excel in Teams find later that their changes did not go through at all or went through partially. All the files were in Sharepoint Sites. Any thoughts on why this might be happening? I know you are not a MS troubleshooter but I don't follow any of them. :-)

    Hi Alberto, not sure why that would be. Sometimes my OneDrive sync tool doesn't connect properly and I have problems saving the changes, but this is rare.

    Great video. This may solve the issues that I have been trying to fix. Several Questions: 1. Does everyone need to have 365 or just the owner of the book 2. If the file is saved on my onedrive, do they need to save the link to keep accessing it or do they save the file to their drive too? In other words, once I share the link how do they keep accessing the file? 3. One reason I would prefer to use excel over sheets is that I want to protect the cells that have formulas, while allowing the user to enter data in other cells. I assume that I will be able to do this using a shared 365 spreadsheet. Thanks again.

    Thank you! 1. I'm pretty sure that as long as you set the link up with "anyone with the link can edit", then the users don't need 365 but they will have to open the file in Excel Online. 2. Yes, they need to click the link to open the file each time in Excel Online. 3. Yes, you can set worksheet protection on specific cells.

    Happy new year and I would appreciate if you could refresh my memory. Do all co-authors need to use their Desktop Excel to edit or this can be done on either Desktop or Web Excel? What are the cons and pros, if any?

    Hi Mynda, thanks for the video. I am evaluating MS excel for collaboration and have a question: Let's say I have a paid personal Microsoft 365 subscription and have saved the file on my OneDrive. Does the person I share the file with also need to have a Microsoft 365 subscription (and/or save the file in their own OneDrive) for this to work, or is it enough that they have any kind of MS Office/Excel license (including, possibly, no paid product but just the free Office-Online version). Would greatly appreciate if you could help me know how it would work in these scenarios. Thanks.

    Glad you liked it, Muhammad! Yes, you can connect to Excel files with Power BI using Power Query and schedule updates. Not real time, but at specified intervals. The equivalent of importrange is to use Power Query to get data from other sources.

    You can't execute VBA online, so that's a non-starter. However, you can execute VBA in a shared workbook that's open in the desktop app.

Have use Google Script + Google Sheets before, but lots of companies won't allow Google Sheets in their environments. I don't need a full web app with a real database. Any thoughts?

    @@MyOnlineTrainingHub Thanks Mynda. :) I've toyed with the idea of doing forms, but there are 24 columns of data and some users have dozens of rows, so they would need to enter the form potentially 1000+ times. Good to know, though as I work through my options. If confidentiality is on the table, I may just wind up having users save their worksheets into a folder, then user power query to combine into the master table. (The process I inherited has them email me, then I copy/paste into a master table. 0_o) Have a great day!

    Yes, you can use defined names and data validation with co-authoring. You can share a specific region of the worksheet with users as explained here: support.microsoft.com/en-us/office/share-a-section-of-a-workbook-dd5d3385-a8f7-4a25-9283-ff505ad8ddb4?WT.mc_id=M365-MVP-5003849 (although I'm not sure this prevents them from wandering elsewhere in the file).

    Yes, it's just like any Excel file where you can continue to edit it. If you want to alter co-workers to issues, you can tag them in comments.

    Better than google sheets you said .. but all those features already in google sheets since way too long and it's all free for example .. version history in google sheets lets you do beside what u showed in your video: 1) revert to any old version of the sheet without loosing the last updated version. 2) copy any version to new sheet. 3) rename each version to your liking. they even took it far and created mini dashboard that track users activity and trends on the sheet so what is better exactly?

    Excel can do 1, 2 and 3 too (not sure of the value of the dashboard), plus Excel has 17 Billion cells vs Sheet's 5 Million. On top of that Excel has Power Query and Power Pivot. Sheet's is fine for basic stuff, but Excel is for serious spreadsheeters ;-)

    The file is saved on OneDrive and each person opens the file on the desktop or in Excel Online or in Teams. If they open it in the Desktop client they will have the OneDrive sync tool installed so the file is constantly in touch with OneDrive and updating their view of the file.

    Me and some of my colleagues work in a excel document together. But since recently my colleagues dont see the changes. Everyone is correctly signed in with a good internet connection. Any idea? Especially since it worked perfectly before.

    Hmmm, not sure why that would be. My first thought would be to reboot all PCs connecting to the file and re-open it from OneDrive/SharePoint.

    Question. I want an excel file to be password protected only between me and the other person I want to co-author with at the same time. How do i trigger with the co-author feature that we both can only make changes together with a password when the document is opened?

    If you set a password to edit the file, then you and the other person you want to have edit rights can open the file in edit mode and make changes. All other users will not know the password to edit it, so they will be able to open it in Read Only mode. The password is set in the Save As dialog box > Tools drop down > General Options. Set the password in the 'Password to modify' field.

    Yes! The only lag is the time it takes to upload your edits to SharePoint/OneDrive and download the edits of your co-workers, which is minimal.

    Yes, but keep in mind that VBA is not executable on the web, so if the file is opened in Excel Online, then the VBA won't run.

    I'm not sure if there's a hard limit. You used to be able to configure the number of concurrent users in SharePoint Server, so this may also be the case for SharePoint online.

    No, Macros and VBA cannot be executed online. For that you need to use scripts.

    Hiding columns in Sheet Views does not work - Is that correct? I tried it but the columns hidden while creating the view will simply unhide when you jump out of that view. Switching back to that view will not re-hide those collumns. Is this a bug or is it simply not possible? Many thanks in advance!

    If only it worked consistently, sometimes allows co authoring and other times the same file is locked by a user. No idea why, it's random same file same staff same everything. Never found a reason or a fix.

    I haven't had that problem, Gareth, but be sure to send a frown via the Help tab in Excel so the Excel team can investigate.

    Sheet view was designed to work with Tables and other hidden/filtered content. PivotTables change the actual data in cells, so I'm not surprised this isn't supported.

    ​@@MyOnlineTrainingHub first of all, thanks for your reply. In my opinion, if Microsoft is talking about collaboration systems, certain functions have to be really collaborative. Sheet view, regardless of tables or pivot tables, must be an independent viewing system for users. Otherwise it makes no sense. We hope for the future. Happy day.

    You have to be logged into Excel with the same tenant as your connections, and connected to the internet.

    I presume you mean refresh. The file should show updates from other users in real time.
