    I adore this. I have a scrambly ADHD brain that has been trying to organize my personal TODOs and many, many lists. This saves me so much time from starting to look into a software option, it taking too long to get the concept, and then giving up altogether. I bounce around between a lot of different techniques, and I also tend to “get used to” a technique ….and basically abandon it after months or a year. I am interested in Asana and Todoist, but maybe the variability of ClickUp is exactly what I need. Thank you for the information!!! Hopefully I will try, and hopefully I can get back to you on what works out for me :)

    Fellow ADHD squirrel here, I can’t recommend a project management app to run my life…I personally pay for an asana organization because I’m a nerd and want access to all the workflow tools and custom fields- but I’m sure click up is probably up more people’s alley. Anyway - it’s allowed me to use forms to track everything, have one app to go to for everything, and run personal and work things without investing tons of time into a system only to abandon it for later. It’s honestly changed my life and become the foundation for everything I do

    The one thing I’ve been looking for in all of these tools (I have tried Trello and Todoist from your list, but others as well) is a Do This After This kind of task. To use my house as an example: I want to paint a room, but it has a few old picture holes. If I don’t have time to tackle all of it at once, it’s helpful to break the project into parts: - buy materials - patch up the holes - paint the walls - put everything back in storage With most tools, I saw all tasks from all projects and it’s always daunting. All I need to see is the first task: “buy materials” when I’m done with that, the new task shows up (“patch holes”). I just began using ClickUp and they offer this feature. I’m loving it! I like the clean look of Todoist, but dependency tasks is where it’s at for me 😀

    Yes!! This is exactly why I love Click-Up! I was a bullet journaler, but had to use a ring-bound system so I could reorganize however I wanted (and write tasks 1x, then move them where needed so I could see them at all times, lol). Then I shifted to a digital version using Goodnotes, so I didn't have so much "stuff" & could have access to it all the time. That's worked really well for my personal task management, but I needed something more for my business & working with my team. Click-up has been the perfect fit for that! :D

    THANK YOU SO MUCH! I am a Bulletinaire, as you called, and I HAVE BEEN searching like CRAZY for Milanote the past few hours because I briefly worked with it in 2019 as a Product Designer and I absolutely loved it but forgot the name!! My thoughts are kinda messy and I like to take notes everywhere and collect content from all sorts of media and put it in one place altogether, in a moodboard kinda-way. I am going through a career change + organizing my personal hobbies and this software is exactly what I needed to organize all of that. Thank you, thank you, thank you.

    I got 3 of 6 correct, and the tools I'd missed were ones I hadn't heard of. But I'm a ClickUp person and I closely match that personality description as someone who has repeatedly changed their organizational system over time. Great video, Layla! This has recently been a point of discussion in my workplace and I'll be sure to share it with others.

    Todoist user here. I agree that although it does have some collaboration features, it's best for personal use and for the "Agenda" class users. As a prior Trello user though, I think Todoist could also replace that tool for the Sticky Meisters. Trello's strength is its Kanban interface, but Todoist can now also be used for that layout in addition to its project-based view. And Todoist's desktop/mobile app makes it even easier to use. Not a Trello basher, I just felt that as a freelancer, Todoist had the flexibility.

    And Most Important Thing: Todoist works completely offline absolutely anywhere (on PC, Tablet, Phone)and has most quicker access and design )

    That was so fun to watch. I've never been a task, agenda, journaling person. However depending of what is ahead or the project I'm working on, I will find the system that works for me. I believe that's why I felt in love with clickup. There are numerous ways to get organized but in a structured way. I couldn't get Notion & Trello with my brain. In the past I also played with todoist for our groceries management 😊. So in the nutshell, I'm the personality 6 friend

    I agree with finding something that works with your original working style. I love lists, different visualizations and not needing to rewrite the same items in different sheets. I use ClickUp and love it.

    I got notion and milanote right! , another one I would recommend for the bullet journalist and spiral notebook users: taskade (the one with the sheep on the icon) BUT: when you described clickup, after mentioning todoist, I felt like I was seeing the world for the first time haha. I think it might be EXTREMELY useful for me, so I'm going to try it right now! thanks! :)

    This was fun to watch because I wasn't really aware of the different ways of handling notes/tasks/ideas literally on paper, as well as many of these pieces of software. I just heard of ClickUp because a new organization I'm part of brought it up in the Slack. I'm not as reflective as discussed in the Bullet Journaler, but in the digital realm there's many different formats of content and it matters to me that they're differentiated and organized that way. Surprise, I'm a Notion user lol. Having everything on sticky notes would overwhelm me (actually I started with Google Keep a decade ago and yeah it hasn't scaled to my needs 😅). The thing that struck me the most is that many of these apps aim to be the one app that replaces them all. Notion is often compared against Trello and Asana but I guess this misses how those work better for some people even if Notion is claimed to be more capable than other apps. Rather fascinating.

    I LOVED this video. I think this is the best way to match digital tools to your needs. Thank you for the breakdown! I love paper planner and have used both weekly and daily planners, I'm gravitating toward trying clickup for figuring out how to get the most out of Notion.

    You hit it on the head, Layla! That's why I've tried bullet journaling, but couldn't keep up. And I rewrite tasks in daily, weekly, etc. So I'm definitely certified as agenda-based. Clickup for the win!

    My personality is ClickUp, incidentally I tried it first and I am still in love with it. Because it is the app that replaces all (that's there slogan as well). TBH, not all because it is still lacking in terms of app speed with many glitches, but again they mission is super hard, and they're progressing really fast. Main benefit? I can search for anything any time AND filter on many criteria and extract the information very efficiently, that is exactly my personality! Thanks for the great video

    I’m usually torn between gtd method and a planner person. I tried paper planning and stickers but felt more of a time suck for me. I’m torn between todoist (sticky note and gtd functions) and checking out clickup for the planner side. Thanks for sharing this!

    This was a cool topic! I'm a combination of the first type, sticky notes - they're everywhere around my command central and in my spirals and journals/planners - and the spiral notebook type (although each page in my spiral is a NEW list or jotted note or diagram - I love spiral notebooks!) and I MUCH prefer Asana to Trello. So, I think you essentially nailed it for me! I do NOT like Trello. As an aside, I just have to say, isn't it wonderful that we have so many options so that everyone can find what works for them!?! I love it!

    I knew Trello, I'm kind of spirals and agendas. Definitely found a good match with click up. Monday was overrated for me and been able to template contracts for my sop

    Honestly I got only one right! The last one but if you compare asana to todoist I might have gotten 2 right. Clickup and Monday are def for agenda people! After trying every app suggested I’ve come to terms with needing two apps to help organize my team and clients. Clickup/Monday to handle the team and Basecamp to handle clients. One of my design philosophies is to keep things minimalistic and aesthetic. Basecamp allows for my clients to jump in and understand how to use it because of its simple design. However when it comes to ClickUp/Monday there’s a learning curve that most clients do not want to experience

    I started using a spiral bound notebook again lately to have a visual of my priorities for the same day or next day. I use both Asana and clickup. I have been watching your videos to create my system inside of clickup. My team is currently only in Asana. The issue I found with Asana is that it is actually not a good team project management system. It is only good for single users with lists. It is however in my opinion better for some relay type of tasks visually than clickup. For example, we have several steps that required different people do them and clickup does not provide the necessary linear view (step by step) view of a task that is at one spot, then gets passed onto the next person. Asana is much better for this. However, Asana has blind spots and an inability oversee your team because it only has 1 person recipient. The Tagging in asana is like visual vomit which just ends up being a long laundry list of people not ever reading what they are being tagged in or getting frustrated that they have to read what they are tagged in. My plan is to actually use 3 systems: a notebook I carry around to jot notes on, that I pre structure my day the night before on it, asana that I use for my team for relay type of tasks and clickup for tasks and projects that are not a relay system type of structure. I like the visual layout of asana but the functionality of it is very very limited for productivity. I thought I would give you my feedback from someone who uses multiple systems.

    I'm a visually oriented combo personality, using sticky notes, bulletin boards, and notebooks to organize projects. The latter is filled with both visual and textual notation. (FWIW, I don't get bullet journaling either) I am familiar with both Trello and SmartSheet (which wasn't one of your presented choices), and neither were completely satisfying. What project/workflow management software would you recommend?

    To replicate your current setup? Probably Notion (if you slew toward information tracking) or ClickUp (if you skew towards task management). However, if you prefer to complement your other systems and add some task-centric help, you might find ToDoist a nice fit! ☺️

    This was helpful as I’m trying to figure out which PM tool will work for me to help with marketing and content. I’m a cross between the spiral notebook and agenda. For me it will either be asana because I make list and have several notebooks or Monday for the stability as I tend to use the same planner each year. What would you recommend for a single user?

    Hey @Tiffany! I'm playing catch up on comment so, first, I'll share that the best tool is the tool you enjoy using. However, for a single user Asana is generally a stronger choice for a solopreneur between the two. The only exception would be if you need more "database" features -- in that case, Monday (or the newcomer, SmartSuite) would be a stronger fit!

    This certainly explains why I migrated to clickup. I still use a weekly planner and quarterly planner (from a business coaching system) so I get an overview of what I want to do but these tend to be just to remind me of what to focus on. They are just a tab in my browser. I haven't had the time to make the full jump to using clickup for things like my daily top 3 activities because these are more just to remind me of what I wanted to do. For this, I do use a small piece of paper and just keep in the pocket. You forgot to include the flat surface people like me who also just pile up papers and deal with them that way. If they get filed, they are out of sight, out of mind as I assume they are only for reference. Most items like invoices are scanned and tossed as soon as they are paid. Bank statements and personal bills are kept longer but that will go away as soon as my divorce is finally done. This was fun to listen to. Thanks for the great observations.

    Yes! The paper pilers! I'm surrounded by paper because once it's filed, it's not seeing the light of day until it gets moved to long term storage.

    Notion is a good one! I'm testing Flowlu but it's more for team management, not personal management. Anyway, I really enfoy it's task management and Agile modules. Manage everything according to flexible methodologies is funny, so Flowlu is a good tool too.

    @@LaylaPomper ooh good follow up. I initially tried Asana since I pegged myself as a spiral savant. (I do have an everything notebook which is completely disorganized.) But felt that for now I didn't need all the precision of deadlines and task delegation. So for the last few days I've been using Milanote due to the spatial relationships I can build between ideas and tasks. That does track with how I use my everything notebook too. So I think your analysis is still pretty spot on =)

    I love this!!! I'm definitely an Asana kind of person!!! But what about people who live by calendars in combination with spiral bound and emails? (I do find I like ClickUp slightly more than Asana, but sometimes forget to check into ClickUp)

    Not super well, but you can hyperlink between them? I know that's not a great solution though... Alternatively, ClickUp does now have a Whiteboard view. It's nowhere near the power of Milanote, but it does exist!

    The artsy colorful bullet journal movement overshadowed the original bullet journal system, which was designed to be a flexible system that doesn't lock you into a set way. I still use the original bullet journal system religiously. I would say it falls somewhere along the lines of the spiral notebook types but only one notebook for everything. I think ClickUp or Airtable offer that flexibility. Airtable is not a PM system but I do find myself using ClickUp very Airtable like.

    I actually originally included a whole section on Airtable in here but cut it out because I felt it might have been too far outside PM. But Milanote isn’t a proper PM tool either! 😅

    I really appreciated your video and am looking at some of the software, but have already run into snags (for my needs, at least). Any chance you know of a digital tool that would be similar to a kanban board but where, when items are dragged to a new column, they don't automatically hop up to the first available empty space in that column? I need to track a list of projects that go through the same progress steps but at different rates of speed, so I need to be able to move them from one column to the next but keep them on their SAME ROW. I've been looking all over the internet and have tried numerous systems but can't find anything quite like this -- something I can create multiple columns/lanes in (about 25 columns) and name them as needed, can assign a project to each row and move it and any notes about it along that row of steps to completion. Any thoughts on this? Thanks in advance!

    ClickUp (with their new Swimlanes feature) would do this. It’s currently in Beta though. Alternatively, SmartSuite in Card or Kanban with Grouping View should do the trick! 🤔

    this is a really interesting concept because I've struggled with my list system since I was a kid. Right now, I have 100 Notes in the iPhone Notes App, but still work off spirals and notepads a little, and I have extensive bookmarking list both in Safari and within my email... any thoughts to which one I should use. I have some guesses as to the finalists:)

    If you're focused on notes and tasks, I'd probably try out Notion given your current process! Their Web Clipper would probably be a great way to centralize both your bookmarking AND your iPhone notes. 🙂

    I’m trying to grow into being an agenda person but I use my notes app like a digital diary for my brain dumping I might take a swing at click up I need all the prompts and processes in an ADHD friendly format and it just seems to be the closest fit

    Taskade works too if you are working solo, but todoist is definitely more well developed in terms of features and functionality. The UI of Taskade is more... kiddish? My 2 cents.

    Very informative and helps me to narrow it down for me. For helping my wife on the other hand… Didn’t help much as she fits in many of the categories you listed: White boarder who uses many colors and bullet style lists for priority, who erases and rewrites her whiteboard almost daily, also puts post-its all over the place (even on the whiteboard), additionally, she emails herself ideas and todos and is averse to learning new ways to use her devices to help…😅

    Agreed - depending on your style both are great for solo users. Though I prefer Todoist a bit more 😉 And I hear ya on escaping Facebook! Our client group has officially ditched Zuckerberg, but I’ll note your feedback about having our free community shift in the future! 😂

    I’m not sure if my personality type was mentioned or which one I fall into. I think of myself and my team as needing conditional logic tasks, Round robin tasks/ departments, auto dates, easy to use. I love process st but I feel like they are still missing some pieces for one off tasks etc to pair with it. I tried click up way to complicated, I like Asana but not in love with it because it’s missing some of the things from process st that I feel like I need. (And I feel like it’s so easy to get lost in endless tasks) Lmao 🤣 hopefully that brings clarity to my personality type. Love to know a few recommendations.

    It's very hard for me I'm between Todoist and Clickup. I'd like to use more Clickup but it's so slow and full of bugs. How many time do i have to reload it to. work properly... I guess, the best option would be to keep todoist for personal and clickup for professional.
