Poshmark Inventory System: Simple Poshmark Organization

In this video, I show my simple Poshmark Inventory System, from how I store all my clothing items to how I stay organized of each item using Excel. Since I resell part-time, it is important that I use a system that is both simple and effective.

    I like that you use a spreadsheet as a tool for organization of your inventory. I love spreadsheets but haven't yet created one for my reselling. It really would be much easier when listing (or reviewing offers) because I can use the find shortcut to locate the item (instead of sorting by title and scanning to find to the title) to see how much I paid! Very nice video -- great speaking. Can totally tell you are a teacher. I'll be listening to your other videos while I work on my closet. Thanks!

Yeah...once I got to a certain number of items, I had to create some sort of spreadsheet or else I would spend half my life trying to locate clothing items 😂 I hope you enjoy my other videos as well!     We have very similar inventory systems! My bins are also numbered, and hold 25 items. I reuse the ziplock bags as well. When am item sells, I put that bag in a box, and it's ready for new inventory. My spreadsheet is really really detailed though. I am a major nerd. I have my inventory number, description, when I bought it, when I listed it, brand, cost when sourced, and whether it's cross listed. Then I have quarterly Sold tabs, which I copy from the inventory sheet when it sells, and it includes what it sold for, selling fee, shipping fee, earnings, profit, platform sold, and date sold. I have bundles color coordinated as well. I love seeing all the details. I have the time to do that since I spend a lot of time sitting and nursing my infant. lol. I can understand those who have full time jobs to not have as much info, which is totally okay! It's all about what works for you. Thanks for linking the storage shelving unit. That's the next thing I need to buy. I have 9 bins, and I just have them stacked, and it gets tiring moving them off each other when I need to pull inventory, or add it. Great video!

    The Frippery Fox that’s amazing that you’re much more detailed with your spreadsheet! It probably makes bookkeeping so much easier, and I especially love how you do quarterly numbers as well. If I ever go full time, I’m gonna contact you 😂

    I have a similar system with bins (no lids!) for clothing and other smaller items. I have my bins labeled A1-L1 currently, and will eventually add M1-Z1, A2-Z2, etc. An example of how I label my items in bin "A1" would look something like A1-01, A1-02, etc. Using a combination of letters and numbers, for me, helps pin-point which bin the item is in. My spreadsheet isn't too fancy, but definitely need to refine it since I plan to give a swing at full-time reselling later this year. For items that are a bit bigger or don't sit nicely in bins... it's randomly stacked all over the place, and I go off of memory 😑😅. Need to figure that part out for my bigger bulkier items hahah.

    Hi Becky. Great video. Thank you. When you made this video, you had about 600 or so items. I looked at your closet recently and saw that it says you now have almost 4000 items. Do you still use the same inventory approach of 25 items per bin? That would require space for about 160 bins, which is a HUGE commitment of space in any home. :) How have you evolved?

    This was very helpful. I’m currently in the same situation of having clothing and items all over the place. It truly is hard to find things and really makes packaging a drag. I was looking at getting those sealable bags to organize but I think the ziplocks are a much better idea and cost saving because I can reuse them over and over. Spread sheets are daunting to me but you made it look so easy. I might give that a try. I do like the idea of adding cost and profit margins but that might be a bit much. Especially if I’m going to reuse the cell for listing a new item. Not sure how I would make that work. Any way thank you for your video. Have a beautiful day.

    I like the bare bones idea. I don’t wanna put that much time in to that. I too am not a wizard but when I go sourcing my husband calls me a sorceress. Thanks for the tips every little but helps.

    That's the reason why I only sale handbags and sneakers, super easy to store and find. No inventory system, ( to lazy) I use a spare closet so I’m able to see all my items. 207 items

    This is what I do! While I’m taking pictures, I take all my pictures then while I’m taking measurements I create a draft when the measurements then I put the items in bags with their numbers then I put the number in my listing

    Do you not find that your items get wrinkled when folded and stored this way? Right now I have everything hanging up but I am quickly running out of room so I need a new system! But am worried that I will send customers wrinkled clothing...

    Allison Caufield if you fold it nicely, it usually isn’t wrinkled at all! Just at the folds, but that’s what it’s like when people shop online too.

    Great video. I'd love to see how you keep the financial side. Of course with bogus numbers. I know you are part time BUT.... if you make enough you will have to report for income tax. Better to have it going then to go back to try to create. If you don't have the info you have to pay based on 100% without accounting for expenses. Yikes. I'm just starting and can't quite figure out how to generally keep the financials. Any tips would be appreciated.

    Oh man. This is definitely hard. I know many resellers keep track of their cost of goods by averaging out each item per haul versus remembering how much they spent on each item. Poshmark is also coming out with a new feature where you can add some information privately in listings including your cost of goods. I think that will help tremendously with keeping track of financial information for tax season!

    Hi there, great video! Our inventory systems are very similar. I'm curious though, why not just put your inventory number in your listing so you can immediately see it and grab it from your inventory when it sells? I love excel spreadsheets but it seems like an extra and unnecessary step to have to open a spreadsheet and sort by name to find your inventory number.

    I use google sheets. I love the "search" feature. Use keys "control" + "F" to bring up "find" ....BOOM....a search bar! 💥 Is that possible in Excel?

    Hi Becky. Some sellers put their inventory # on the listing. Is there a reason why you decided to do a spreadsheet instead? This way, you don’t have to type anything.

    Do you know about how much you invested in Inventory when you first started? I have about 30 items but I am starting to learn most resellers have a lot more than this! Lol

    Katelyn Alyssa hey, Katelyn! I started with items from my house first, and I probably had about 30 items just from my closet, my husband’s closets, and my kids’ closets. Probably more even. After a month or so on the app I started buying stuff at thrift stores. I definitely recommend starting off with a small number of items and without investing too much in new inventory, so your 30 sounds perfect! That way, you can learn the ins and outs of the app really well without feeling the pressure of having hundreds of dollars of inventory in your closet. I have a video called “top ten tricks to make 10k on Poshmark in one year” that has a lot of other helpful tips as well!

    I see people put brand names i.e. Susan Graver on their photos in big, bold letters. What app does that for Android? @malissastyles on Poshmark.

    southernlovely I don’t personally do this, but I think you could use the app “Canva!” I use it for a lot of things, and I could totally see it being useful for something like adding brand names/titles to pictures! And it’s free!
