    I broke the process down for you all.... Happy Planning :-) Section 1: Make the Juice Worth the Squeeze Dedicate time every Sunday to pre-planning, turning it into a ritual. Choose a pleasant and comfortable location, like a favorite café. Plan a leisurely brunch, making the pre-planning process enjoyable. Create an event around pre-planning to make it a rewarding experience. Recognize that pre-planning may not be inherently enjoyable, so make it worthwhile. Section 2: Pre-planning Checklist Begin with a priority review. Open your life map or goal-setting document to review last week's priorities. Identify what tasks from the previous week were not completed and need to be carried forward. Set new priorities for the coming week based on your goals. Use a checklist to guide yourself through the pre-planning process. Section 3: Priority Review Review your priorities from the previous week. Determine what didn't get done and needs to be rescheduled. Set new priorities for the current week based on your goals. Make sure your definite chief aim (main goal) is well-defined and aligned with your priorities. Section 4: Calendar Review for Hard-Edged Commitments Review your calendar for the next ten days. Differentiate between hard-edged commitments (time-sensitive and crucial) and soft-edged commitments (flexible tasks). Identify any potential conflicts or challenges in your schedule. Optimize your meetings by canceling, rescheduling, or preparing for them. Over-review beyond seven days to catch potential surprises. Section 5: Reviewing and Updating Asana Access your task management tool (e.g., Asana). Clear out the "New" tasks section by adding them to appropriate categories. Organize tasks into "Today," "Upcoming," and "Later" sections. Prioritize tasks within each category based on urgency and importance. Ensure that your task lists reflect your priorities for the week. Section 6: Demir Explains How to Work Through the New, Today, Upcoming, and Later Sections in Asana Review the tasks in your "New" section. Move tasks that are to be done today to the "Today" section. Assign tasks to the "Upcoming" section for the rest of the week. Utilize the "Later" section for tasks that can wait beyond the week. Streamline your task organization process to maintain clarity. Section 7: Demir Organizes His Asana Upcoming Section Merge tasks from the "Upcoming" section into a more organized and coherent order. Allocate time for each task based on estimated effort and priority. Use tags or labels to categorize tasks further (e.g., urgent, important). Consolidate tasks that have a similar focus to maximize efficiency. Ensure that your upcoming task list aligns with your goals for the week. Section 8: Create New Time Budget for the Week Allocate time for personal activities like spiritual fulfillment, social time, hobbies, and health. Dedicate time blocks for deep work tasks, marking them distinctly (e.g., in red). Plan for unplanned and unwanted work (UUWs) by leaving gaps in your schedule. Combine your hard-edged commitments, soft-edged tasks, and gaps to create a balanced time budget. Prioritize tasks and allocate time slots for each activity throughout the week. Section 9: Plan for UUWs (Unplanned Unwanted Work) Reserve gaps in your schedule for unexpected tasks that might arise. Avoid over-packing your schedule to account for potential interruptions. Allocate some "buffer" time between tasks to accommodate unplanned work. Accept that not everything will go exactly as planned, and allow room for adjustments. Use the available buffer time for handling unforeseen tasks that require immediate attention. Section 10: End of Pre-planning Confirm that your time budget reflects your priorities for the week. Review your calendar to ensure that all tasks are scheduled appropriately. Acknowledge that some tasks might need to be postponed to future weeks. Make peace with the fact that your week is pre-planned and well-structured. Embrace the clarity and direction that pre-planning provides for the upcoming week. Section 11: Bonus Round Identify any remaining landmines or potential obstacles in your plan. Evaluate the overall schedule's effectiveness and balance. Consider if there are any adjustments or optimizations needed. Reflect on the alignment of tasks with your goals and priorities. Be open to making last-minute tweaks based on new insights or changes. Section 12: The TACO Method (Terminate, Automate, Consolidate, Outsource) Review your schedule through the lens of the TACO method. Ask if there are tasks that can be terminated or eliminated altogether. Identify opportunities to automate certain tasks using technology or tools. Evaluate if tasks can be consolidated for greater efficiency. Consider whether any tasks can be outsourced or delegated to others. Use the TACO method to refine your pre-planned schedule and optimize your productivity.

    This is an awesome exacting functional process. What would be better? If AI was involved. The 'colliding tasks' could be handled with AI. The adding up and finding time slots for the different levels of priorities. The ability to move mass blocks of tasks when something comes up such as an emergency. Could even email people you have appointments with. Have you worked with any AI calendar programs? Have you thought of creating one yourself or maybe an addon to the most common task apps (Asana, todist, Monday, google task, ms task)?

    Not sure if anyone has told you this, but some of us nerdy types LOVE to pre-plan our week and our work. It's true. Some of us don't need to go anywhere special, burn candles, play music, or anything else to love it. The beauty of the Lifehack Method for us is that it moves us from theory to practice, i.e., it gets the plan out of our heads and active in our lives so we can actually make better quality progress more quickly.
