    @@MarquisMurray I’m testing it as a project management tool. My company started using it. Also, a prospective organization I’ve got a relationship with uses it, so it’s popped up everywhere I turn recently. I’m absorbing as much as I can as a product manager and account manager for clients. Basically trying to optimize a workflow and mostly set up projects from start to finish, managing teams with it and learning the layers (subtasks) and various usages of different views (list vs board vs timeline vs calendar etc.).

    This video and it's predecessor was awesome! Something I have done instead of creating the "Story" column, I use the multi-project assignment to give me that data. This way I don't have to worry about trying to keep that rolling. I also create a custom field about the type of work being done - data clean-up, dashboard building, documentation, etc so that I can keep track of the type of work we are doing to ensure I have a mix of people on the team with the correct skill sets or find training for gaps we have.

    Marquis - thank you thank you for creating your content. I’m actively applying the learnings here at work as we speak (: Would you mind sharing your opinion on the best practice around having a sprint board, multiple projects, and a backlog project board? Is the best practice something along these lines: - Backlog project holds all tasks/stories(milestones) - Create several projects to support each feature we’re working on - Add relevant backlog tasks from backlog project to each project (so they are multi-homed) - Then for sprint planning either add those task to the Sprint board from the Backlog project or from each each active project that has backlog items that were multi-homed. Is the idea that people work on task from multiple projects in the sprint board, but also go into a project to see the status of the tasks there if they need to be in a particular project?     Hey Jere, thanks for the kind words-really appreciate it and I’m glad the videos are helping. This is a great question and a good reminder that I’m overdue for an updated video on new uses cases for running scrum in Asana. What you have here is pretty much it though. Your last point is that the features are the sprints and you’d multi-home your larger product backlog items during your sprint planning to the appropriate sprint project. From there, yes, you’d have multiple team members collaborating on different projects during he same sprint and all working towards the same goal. Retros and planning become even more important so that you can get this right and get your team in the habit of running using the approach over and over again.     good videos, but i am slowly giving up on asana... with 900 employees and 13 years of existence, it still doesn't know how to do scrum.... no burndown charts? sprint summaries? negligent or incompetent?

    I hear you, Ivo. It's not ideal and many of us have had to come up with workarounds. We can only hope that these features will eventually be added to Asana. That being said, you can export your portfolio data to Excel/Google Sheets and use that data to create a burndown chart. Have you tried that yet?

    @@MarquisMurray thanks for the tip! Very kind of you. I have been researching the whole day on various tools which our team could use and i might settle for Lark. It's made by TikTok parent company, but it combines slack+2000TB cloud drive+Google docs+has tools to convert sheets to Kannan boards, gantts with all the fields and functions. And it's free. The shortcomings are 3 1. No rules and automation 2. It's one app for all which takes a few more clicks to get to the task manager 3. it's made by a Chinese company (at least partially) Give it a look if you are interested in more tools

    Good question. Rules only allow for due dates at the moment.

    Hi Marquis, you have made it so easy. I have a question, I have subtasks that are the same for all tasks, I don't want to avoid repetitive typing. is there a way if I can assign subtasks of one task to all other tasks. thanks

    Thanks for the comment! You can either use task templates with your projects to avoid typing them again and again or you can simply multihome the subtasks to as many projects as you need them to show up in. The only problem with that is they will show up as top line tasks instead of subtasks. I think task templates is the way to go for you.

    Hi Maquis, thanks for the videos. As for the breakdown chart (BDC): we don't have the Portfolio option yet (double the price) and I think it still doesn't provide a BDC, but only a progress bar based on the NUMBER of tasks and not based on the estimated HOURS. Is some BDC possible based on the estimations, guess you know the default design?

    Portfolios will allow you to see workload which does measure the estimated hours. But no, there is no access to a BDC. You'd need to use a 3rd party tool.

    Thanks for this awesome video Marquis! One question I have is, when you have the multihoming the backlog and sprints, I've noticed that automation only works on the project that has the template tasks (for the rules). If I create a template from my backlog project, and use it to create sprints, then the template is duplicated and the fields are duplicated as well (as it's trying to combine two tasks templates). Optionally if I only create a task template on the sprint project, I can't create any rules on the backlog (since it doesn't have that template and those custom fields). What do you do to setup the rules to work on both the backlog and sprint projects?

    Hey Otto, not sure if you've figured this out yet. I'm so sorry for the late reply. One thing that Asana has not figured out yet is undoing actions and creating inverse actions for all scenarios. They are part of the way there but still have a lot to sort through. Not sure if you've noticed the little toggle switch when creating rules or not, but you can tell the rule you're creating to be triggered by another rule that is running. This MAY be the solution but if not, let me know or record a Loom video to explain it further and I can do a video response about it.

    Thanks for this video! How do you get the Projects column in the Task List screen? I couldn't find a way to add that column. I can only rehome/multihome tasks one at a time, by opening each task individually.

    You're welcome! For the specific Project/s to appear as a column in the List view of My Tasks, go to Customize (top right corner), you will see all the fields you have the option of showing in List view. Make sure that you turn on Projects to see it as a column. Once you can view the Project column, you can now multi-home tasks from there. Let me know if you have other questions.

    Great question! We're on the enterprise plan but you'd need a business plan to use a lot of these features. Premium offers many of them but business will allow you to use all the custom fields and rules you saw in the video.

    Apologies if this was already covered, but is there an automated way to add up each team member's Sprint Points and have it show everyone's available points for the Sprint within Asana somehow?

    Great question. You can do this two ways. You can either use portfolios>workload to see the spread of assigned points, or you can now use the reporting tool to display the points used across various projects.

    hey, marquis great video I pressed stop to do the steps as in your video question when I set the start and end date in the SCRUM PROJECT BACKLOG choose the project it belongs to, and set the scrum state to backlog everything works fine. But as soon as I go to the scrum demo I don't see the due dates what goes wrong there? Thanks for answering.

    @@MarquisMurray i did every step in the earlier video where you reviewed in-depth how to set up a Scrum projects in Asana. and in this video How to Manage a Product Backlog and Sprints using Asana i did the same i paused every step in the video and i change the name of the scrum project. and i found out what went wrong and i made a project with only backlogs tasks and in my project where I only have a section backlog, only for that I have created a form and with a multi choice for which project are questions. And I've created a task template to make the job a little easier. what went wrong in your project board when you wanted to let us see Dependencies in mine it went good only i didn't see the arrows in timeline so did it like you id went to timeline and Unscheduled Tasks it works fine there. one task of mine is blocked by 3 projects there are a lot of work.

    Still curious, how do you capture epics (that stories/tasks would be tied to)? If there are 5 tasks that all relate to a specific feature/epic, how is the epic signified?

    Great question. This can be handled from the portfolio level. You need at least the Business Plan for this but the epics are created at that level and then the related projects are added to the relevant portfolio. Another way is to create different projects that act as the epics and then the related tasks within each project can be assigned and multi-homed as needed to the appropriate spaces in Asana.     hi marquis i am confused at some point. When everything is ready in scrum demo, this video How to manage your product backlog and sprints with Asana shows you how to proceed. You change the name from scrum demo to website scrum demo question 1 is it that you are working on a website? I changed mine to a project name I need to get started on. Question 2 do the other projects have the same format as the website scrum demo and do I just need to duplicate them? Question 3: Tasks were placed in the backlog in the previous video scrum demo. Should they also be placed in the scrum project backlog? Thank you for your answers.

    Q1: Hi Roman, the name of the project doesn't matter. I just wanted to update the name to keep things consistent with the demo. Q2: Yes, duplicating is just fine. Q3: They would have originated from the backlog. As long as the rule is running, they will go to the correct scrum sprint project.

    Hey! If you select a section of tasks at once the option will pop up at the bottom of the screen to add to other projects and sections. If you view your projects in the list view and also have the projects field visible, you can select the project(s) you want to add it to. There are a few ways, which is nice. Hope that helps!

    I would always recommend creating a new sprint project. You could keep it in the same project but if you need to look back on the tasks that were completed in a specific sprint, then it could get confusing over time.

    @@kartheevidya one way to remove the other sprint projects is to just archive them so you don’t see them. With custom fields you could do that and it would top out at 200 sprints. That’s an option and you can just have your sprint fields go up to 52 to match the week’s of the year.

    @@MarquisMurray Thank you so much. We have a customer field where we put something like S22 - 25 which means, we are in 2022 and 25th Sprint. This way we use the same project for 200 sprints. I'm worried whether this will affect the dashboard and reports. Any thoughts on it?

    @@kartheevidya it shouldn’t impact the reports. You will likely have to use the global reporting tool but you’ll be fine. We do this for our customers as well
