    This was helpful; I didn't know about some of those options. Re compression: It does pay to compress Logic Pro projects. I've noticed 30%-60% compression rates. That said, it might depend on how much of the project is MIDI data and how much is audio.

    Are there any affordable Large SSDs Thunderbolt or USB-c (the faster one, not the one that says it's usb-c but really isn't)? Do you not have a product recommendation page with links of your preferred choices?

    Thanks again Gary. Still one question. My timemachine backsup my internal drive automaticly. So the files are on the timemachine too. I do archive files, but then they remain on the timemachine. Is there a way to remove them in the history there too or is that nog possible?

    First, one piece of advice I always got was to have apps on the internal drive and docs on an external drive. The logic here the documents are protected still under my control even if the computer itself has to go into a shop for repairs. Concerning compression, I also use it as an organizational tool. Compressing old documents means that they won’t be accidentally separated during reorganization of files.

    Hi, regarding to Time Machine Backup, could you please help me with my issue, actually i've just downgrade my mac from Big Sur back to Catalina, but before i downgrade i already backup my data using Time Machine Drive and when i'm done upgrade, i tried to restore my data back to my mac but its nothing in my drive and time machine as well... so would you mind to share me some solution

    As a novice, I need some help & would welcome suggestions - I'm trying to move numerous files on a Mac (from one file to another) but when I do so, there's a 'duplicate' left behind, so, I end up with the same file(s) in 2 locations. Is there a setting I'm missing so I can avoid this? I've found a keyboard shortcut that works (*Select the file you want to move and press Command-C (Edit> Copy). Then go to the location where you'd like to place the item and press Option-Command-V (the shortcut for Edit> Move Item Here, which is only visible if you hold down the Option key when you're looking at the Edit menu) but this is a hassle moving numerous files. Is there an easier way? Thank you.

    I strongly advise against that. A Time Machine drive should be dedicated to only the backup. Adding other things as file or as a parition often leads to problems. But more importantly it means that any backup of the archive or other things on that drive won't be backed up since it is one drive, one point of failure. A RAID also seems like overkill for both backups and archive. You don't need that speed and you don't need the extreme reliability for a backup either. Just save some money and get two separate regular drives for backup and archive.

    I've been waiting for such video. Very valuable information! However I am wondering how to create a backup of my photos. I have about 100 GB of photos, I use Mac OS Photos app to manage them. I could simply copy the photos library to the external drive, but I am not sure if I will be able to read this library in the future? What is the best option?

    In the photos app you should be able to select all the photos and then File -> Export them with full quality and with the correct metadata (such as location, date, tags…). I think the best solution may be, as you suggested, to copy directly the library. It is even possible to open the library as a folder and access the raw images (originals and edited) from the finder, that should be bulletproof. Just check that you have all the full quality photos downloaded, be aware of the iCloud’s Mac storage optimization setting!

    Great job Gary, as always. Question though what do you do when app technology changes its file or storage formatting? For example, word has gone from .doc to .docx, or iMovie or Final Cut Pro changes their Library methodology.

    In both of those examples, you've got time for the transition. Word still opens .doc files and probably will for many years (forever?). When iMovie and FCP changed library formats, you can still use the current app to open the old libraries as it converts them when you do. So in some cases, like .doc, I wouldn't worry about it. In other cases you've got a period of years to convert old formats to new. That's all part of maintaining your archive.

    Great video Gary! What's your choice for safe archiving between HDD and SSD ? I had an external HDD for about 8 years to keep the most precious data for me (photos and videos). Thank God i decided to buy an external SSD to transfer there my data. After 6 months of that move, my HDD stuck, i hear the needle inside the disk struggling.

    I would definitely go for the ssd since those aren’t mechanical anymore. Therefore they last longer. If you drop an HDD it will most likely break the internal mechanical components. Whereas an ssd does not break that fast. Worth mentioning is that there are tools which allow you to see if your drive is ok or is degrading. Look for S.m.a.r.t hdd tools.

    Thanks for your videos. I'm sure you already know but there's a great way for compressing video files on the new M1 Macs, which can convert the H.264 to H.265 really quickly, and you can just right click on the file and convert internally, just make sure it's in the correct resolution and quality. It saves approximately 40% in size, that would save a lot of space if you have a lot of videos that you want to keep on the computer. Probably not best for archiving, but maybe consider this for another video? Currently, I'll compress all new videos to H.265 and keep the projects and H.264 on the NAS, which is also backuped. Occasionally I'll do some video compressions of older videos. I like to keep H.265 versions of short clips on the photos apps for easy access on the iCloud, so all the devices can access them. Have you already done a video for NAS? If not maybe do one or update one? I think the basic WD ones are pretty much better than any external ones already. It just makes the backup a little easier.

    I don't cover too many third-party apps or hardware. An NAS is great, but typical Mac users don't need them. And the ones that do can choose from a variety of them. So I don't see myself covering any NAS any time soon.

    Another option is a NAS. I have a Synology which I find invaluable. It holds my time machine backups and my hundreds of thousands of photos, financial info, etc. It gets this stuff off my computer drive but still accessible. The Synology automatically copies that data to a JBOD with removable drives and another copy off site. No, I’m not a pro but my photos especially are invaluable to me and can’t ever be replaced.

    Also good to know that archived data isn’t persisted forever. It degrades over time! I did have some stuff archived on dvds but after a decade, I tried to read them and they all where degraded so much that I could not read them anymore! I did store them in the attic where it wasn’t humid and temperatures fluctuated between like 15 degrees Celsius and 35 degrees Celsius. So I can say that optical discs aren’t the best solution. I thought tapes are still the most reliable options. But they are slow and impractical. Hard disk drives degrade mechanically a bit faster than tapes but last longer then optical discs like dvds. Finally there are flash drives and solid state drives (ssd) that are the most practical options you can use today.

    Thanks Gary, What about M-disc for lifelong archives? 100GB per BDXL disc and 1000 year storage life. As long as there is a functioning blu-ray reader (even floppy disk drives are still around) this should be good.

    Never used them. Even 100GB seems pretty small to me (I would require 2 a month just for my MacMost video work files). And while floppy and optical drives are still around in 2023, they are far less common than 10 years ago. So what about 10 years from now? I think for long-term you have to be prepared to maintain the archive, transferring to new media every so often. I archived to CDs and after years I transferred them to DVDs, and then to hard drives, and then to larger hard drives, etc.

    For me it happened that on portable harddrive dropped on the floor cause the case is this metal and slippy. The effect was that I couldn’t read the data fully anymore. Now I try to get SSD, they are faster for video-files and not so easily damaged like HDDs. So spinning harddrive - I am not a fan, but have two backup HDDs for important projects. A second issues arising, happened when I backed up files from a video film-project and cause I had some files in different locations and made 2 backups, I now have from some files too much copies. For example you have your original files on an SD-Card from a video-camera. Then you make a backup of the SD-card (2x). Then you copy files to your internal harddrive and then you backup this 2times. Now you have 4 copies of a files. Then you need the same file for another project and there your habe two more copies of the file. A third thing which happened: Sometimes also external SSDs disconnect by themselves. I don’t know why. I mostly format them in exfat, to be able to read them on windows and mac computers. They just disconnect. Do you know why? Also I use carbon copy cloner cause I worried that there are errors happening while copying or moving files. I really would love to learn more to get a well founded backup and archive routine. Also a questions which arises with time machine. Maybe You know about it? If I have an one TB internal harddrive, how do I should choose my time machine back up? Some people say: At least the size of your internal storage. I have 1TB, so I chose 1TB as Time Machine-Drive. But if you would have a 2TB drive for Time Machine, you would have more option when recovering files, cause time machine than has more space to safe serval backups from serval times parallel. Another point I found tricky. First when I made a backup plan, I set up a backup plan for the „personal folder“ of the mac. But know I noticed when I move projects from the personal folder to an external harddrive. They also will be deleted on the next backup from the backup drive. A bit complicated I know, but actually very easy. You have a large project with videos and media files in your personal folder. Then you back up it while working on it via CarbonCopyCloner to two external drives parallel. Now you have two backups of your important project. When finished with the project you want to free up your internal harddrive and move the project two an external drive. When you make another backup for the personal folder, weather time-machine or carbon-copy-cloner synchronizes the files with esch other and deletes files which Aren’t in the source folder. That means, in the end I only have one backup left or that I have to make a backup of the external drive again. Backing up is something which I find so challenging and complicated. I habe a lot of question and issues to adress with this topic. Maybe you can make an extra video on this, or can adress one or two of my issues in a comment :) Anyway, Big Thanks to your informative and helpful videos!!!!!!

    Sorry, I don't know why the drive you have is sometimes disconnecting. You should get a drive as big as you can for Time Machine. At least 2x, but 4x is better. I have a 14GB drive so it can store a long history.

    @@macmost Thank you so much for your videos and also for responding! I now did a lot of research about disks and Time Maschine. So the consensus seems to be, to have a Time Machine Drive which is at least double of that of the Mac-Working-Drive. So if you have 1TB, go for 2TB. But if you have more space on your Time Machine you have a longer history. So you suggested 4x of your Mac-Working-Drive. I now checked different drives. Cause I work often with video, I didn’t choose the portable hdd drives. They are around 80-130MB/s and they can get failure or damaged easily. They should be good for office documents for backing up or other smaller files. Then there are two other options. External bigger drives like the G-Drive or the WD-MyBook. They have around 200MB/s speed and seem to habe good reviews and you get 4TB for 100-160€ right now. The other option, to habe portable fast drives would be 2TB SSDs. There are two companies whoch have the cheapest 2TB SSDs and are well knwon. Both with their 500MB/s Drives. Sandisk and Samsung T5 both have a 2TB SSD with around 500Mb/s speed and 200€ cost. For me I think the 200Mb/s HDDs do the job. An I would still have space for a longer Time-Machine-history. By The Way: Is it possible to copy a Time Machine Drive to Another? If I would by a new drive now, can I copy or clone my 1TB Time Machine update to my new drive?

    Beware the longevity of magnetic and optical storage media are not forever. People have retrieved these media years later to find empty, unformatted external drives and blank DVD discs. Hate to be a downer, but I’ve had colleagues who have suffered this problem.
