Craft Show Preparation - A Primer for the Newby

I mentioned in a previous video that I was going to do a craft show. I had several requests for a video about doing craft shows. I am no expert but in this video I share with you how I prepared for the show and my experiences during the show.

    RJB, your craft show prep videos have been outstanding. I have registered for my first craft show in November, your prep, setup and post show experience has been a valuable source of information for me. You mentioned so many things that I had not thought of, it's one thing to be a customer and not realize all the prep and not step behind the table to sell to those customers.     Your video explains exactly what I was searching for, a little of everything. You touched a little bit on the prep, checklist, your experience, and what to do differently. Most other videos I find don't explain this like you did here. Great job with this video.

    This was a well thought out video. The information will be helpful to me when I'm ready to sell at a show in my neck of the woods. I think you've got a very smooth delivery in your videos that have kept me coming back for more.     Bob; thanks for all of the useful info, as I always wanted to know what it took to sell a product. I go to many craft shows, but it's been a few years since we went to a out-of-town show. I believe (at this time) selling my products isn't what I want, as I plan on giving them to friends and family. But, maybe, at some point I may sell them. Thanks for letting us in your shop, as everything you seem to do helps me make items, better and more fun. Being new to turning, it gives me much more relaxing time in my shop. I've been in woodworking since I was (8) years old, but I never turned items. You brought out the fun part of woodworking. Have a great day, Bob!!

    I just signed up for my first fair and it's in 12 days and another in 3 weeks and was doing some research because I always sell from home and found you! I have to say you have given me great information and I feel so much more prepared for this!! I have displays and i'm working in production of more items (I make paper products, jewelry and home decor items), but was clueless about pricing and how the experience might be and you have helped tremendously!     Good luck Jennifer, My advise is to seek out and befriend the veteran craft show people. They all have a routine and great hacks to make set up and tear down easier plus they look out for you and let you know which shows are the most profitable. Be as engaging to your customers as possible. I like to stand the whole time and tell stories or give information about the product. But don't be pushy. As customers glance, I engage them them, a simple hello or good morning works well. If they step to the table, I like to hand them the item as I talk about it. The story sells the item. If the pass be, I say enjoy the show. I've had customers come back to my table just because I was polite to them. Your first show will be tough because everything is new to you but keep a pad of paper and a pen handy and make notes along the way about what you need or see others doing that will make the next show better for you.     Thank you for sharing the notes, check list and order form. I am our community festival chairperson and I see things from a different perspective than the crafters. I plan to use this for shows I set up at and I'll share with crafters as well so they can see more success.

    Thank you Annette, I am happy that you found it useful and that others will get some benefit from it. Most of what I did was from a beginners perspective since that was my first craft show. The check list was pretty specific to my pens but I am sure it could be edited to fit most any craft items.     I was severely disappointed in my first show. It really knocked a lot of wind out of my sails. I hope you are having a far superior time. I have to agree with everything you said here. I know it to be true and hope others will carefully consider it all.

    Your welcome, Best of luck, shows can be a ton of fun. Many times you'll talk with people and think you have a sale but they will walk off and not buy at the show. Then a month or two later, you get a call or a note that starts, I met you at the show: and they place an order. They will remember you so talk up what you can do and promote your social media.     I totally agree SET UP your table ahead of time.... though I decorate for the style and feel of my art, not the season.... I don't raise or lower prices based on show :p maybe I should but I like to keep similar items the same (or raise them as a whole) I don't want people who purchased something in the past to see what they bought in the past at a lower price...EVER! Great TIPS!!!!

    This is a very informative video. Thank you for posting it. A friend of mine does craft shows in Tucson. She sets her tables weeks beforehand and takes pictures, then she sends them (via text) to friends and family for suggestions. She also has 3 people in her booth during her shows.

    Good luck. Shows are a lot of fun. Don't get discouraged if the first few are a little rough, chalk it up as a learning experience. Talk to the veteran vendors and you'll be having great shows in no time. Regards, Bob

    If I may be so bold as to give some advise here; I have done flea markets , art shows and craft shows for over twenty years. In that time I learned a very valuable lesson. Don't always reduce the price of non selling items,increase the price first then if it truly turns out to be a dog then reduce but not by much.Shows are a numbers game,you have to have the numbers to find that half a percent that will love that " doggy" item. thanks for being such a great teacher!! Very much appreciated!!

    wow Bob you sure Are a welt of information it looked like you enjoyed the experience.well i am not very good around lots of people. i never done a craft show funny and hard to believe i never sold any of my turnings i never tried i know i know but i have a lovely galley up stars all to my self and when i sit there and look at all the turnings well :-) Best of luck with your next show i hope it all goes well All the best Robbie

    Excellent video and information for new vendors. Having done Renaissance Fair Circuit for 20 years I think your advice is spot on. Granted the venue is different but similar in many ways. One tip I will give is to not crowd your table with stuff. A open display that is not over crowded will not overwhelm a potential customer... not to mention it looks better and more Professional in my opinion. The price tag trick is excellent for inventory control and knowing what you need to replace after the show. My wife and I are looking at starting our own business and are considering general and craft fairs as well as some small Renaissance Fairs as well. Once again pricing is very dependent on location and local economy. Not to mention the Venue as well. Higher end Arts and craft shows will be able to charge a higher price for your product than a small local street show. Thanks for the video and advice for the newbies... Have a beautiful day.

    great video bob! I like the idea of the custom bags and special order form that's a GREAT IDEA! I use a palpay credit card reader instead of the square but they are a must have! i see you had a pad of paper on the table i always write try me on it. I also think its important to encourage people to pick up the items touch them and or write with them

    Something gleaned from other types of point of sales ideas from a former life. I really like your pen racks. I really REALLY like the fact that you did not put everything you own out on the table. You seem to have put out good representative pieces out rather than filling every single slot on those racks. TMI can confuse potential customers. Too many choices can also cause issues. Just a thought or two. Nice job.

    My BFF just did a show. It was a bust for every single vendor. It wasn't promoted as promised, and the people running it as well as my BFF didn't do their research and the show competed with a yearly HUGE craft festival. Also, they were charging so much at the door people were leaving. The second day, they didn't drop the entrance fees and very few people came. Not to mention the cost and time of set up, some people paid $260/night for hotels. Everything was sold out because of the other show. It was a huge mess and a ton of people who do this for a living were REALLY hurt by it.

    +Tammy Whalley Hello Tammy, Look at the first couple of shows as a learning experience. They may be a little rocky but make notes yourself about what you can do to make them better. They will also give you a chance to learn more about what people in your area want to purchase and what their willing to pay. The craft show veterans in the booth next to you are a wealth of knowledge and I've never met one who wasn't friendly and willing to share. Be willing to reach out and talk to people as they pass by. The crowd moves fast browsing and if you get their attention and engage them they'll look a little longer and some times that can turn into a sale. You'll do great! Regards, Bob

    My first craft show was a total bust. It was the first one held by this church on a very visible corner in a busy downtown area. I asked the coordinator if they had advertised and she assured me they had. Even people in the town had no idea it was going on that day. Two blocks down was a larger unrelated event that was drawing crowds because it started 2 hours earlier. To make matters worse it started raining pushing us into the basement which was accessed by a door on a side street no one could see. So my advice is to check out the history of the event, advertising they have and what media they use, and rain plan if it's outdoors. Even though this was disheartening and I actually paid out more for the booth than I made I learned valuable lessons that day. I have set up at several shows since then at other locations and had better luck. I was commissioned to do several pieces following my first show with my local arts organization. This weekend I am doing a new craft show near my house selling products I just started making. I have no idea how it will go but after researching the location I found that my products are popular and at the time of registration I was the only one vending these items. Thank you for sharing your experience. It's tough at times but the more you do it the easier it gets. Plus your booth neighbors are usually awesome like minded people.

Chalk it up as a learning experience, I still have a bad show every now and then. They do get better as you get into a rhythm. I like the social aspect of the shows, meeting all the people and sharing stories about my pens. I have learned over time which shows are profitable and which to avoid, those neighbors will give you the scoop too. I hope your upcoming show is a huge success.Regards,Bob

    Have a great time Mary, I find what helps the most is to really engage the crowd. I say hello to everyone who walks by and say I've got pens made from exotic woods, acrylic and antler. Many times that will get people to step to the table and look. If not, I say have a great day and enjoy the show. Once their at the table it's all about the story. I tell them about the pens, where the wood is from, what type of wood it is, specialty pens I've made for people. I also hand them a pen, you want to get your merchandise into their hand. Talk about how every piece is hand made in your shop by you. All of this lets them realize that even though they can buy something similar at Wal-Mart, it's not the same. The craftsmanship is far superior and being hand made, there will never be another exactly the same. Best of luck at your show. Regards, Bob

    Great advice Bob, I've never done a craft show before but would like to try one. I did contact a wedding fair once but they wanted around $200 for a 4ft x 4ft table I was taken back a bit by the price so never bothered doing it. All the best Tony

As a fellow turned trying to eat into craft fairs as a means to sell product, it is refreshing to see so much openness and honesty with your sharing of your personal tips and tricks. Unrelated, a technical question: my pen press (PSI V5) is denting my pen tip. Maybe it's the batch (gold). Very unimpressed. It's when I'm pushing the transmission into the blank. Any suggestions?

    +durk Hello Dirk, You can buy rods of HDPE from EBay very cheap. Buy one with a diameter large enough to cover the end of your press. Drill a hole in the HDPE to fit the end of the press and leave about 1/2" of padding. You can drill a hole in the center of the HDPE padding area to allow the pen nib to pass through. You can also melt milk jugs into an HDPE blob and turn it to fit. Bob.

    I sincerely doubt that i would ever do a show like that. Ive only ever been to one, and was dragged there by the ex. Lol. But youve provided a plethora of information and ideas. I now feel as if i could handle it, should my mind ever change. Who knows where the years will lead me. I believe there are several around this time of year in my area. Something for me to keep in the back of my mind and consider. Anyway, thanks for all the great info.

    This was very interesting Bob. I was asked to do a craft fair, for a charity, in a local school so I bought a table. I knew the organiser so she put me in a good spot at the far end of the gymnasium where everyone had to pass me. Unfortunately the face painters were in the next corner and the queue for them extended to my table so the bodies blocked me off (and 3 other stalls) and people walked by. At the end I sold one $30 pen and got three $80 pens stolen during the transaction - I was set up. It kinda ruined a bad day. It will be a long time before I do another show. I hope you never have an experience like mine. Best Wishes, Brendan.

    Good for you Robert, craft shows are a big undertaking and sounds like you did an admiral job. Your video hit many good pointers. Honestly, I love to go out and meet the customers and I guess I like the compliments too. I've been out there 5 years and enjoy it. My family however wants to get paid if they join me. What ? !!!

    Sorry you didn't do as well as expected but now that you have learned more I'm sure you will do better as each show progresses. Something I saw at a recent show booth of pens was that they had a tray with different pieces of many blanks (not used in pens displayed) that was available for special custom orders. Seemed popular and overheard customers say I don't want one others have I want one made special just for ....... Well good luck and thanks for sharing to help others get started.

    I helped a friend sell things at fairs and it was all sold cash only. And every festivals I went. Everyone made money. I know festivals and fairs make more money on any weekend more than a brick and mortar store. So many people in one day makes up for it...
