Thank you. Do you have a video with an example of someone saying something in a meeting and what you would write down? I work in costumer service and struggle with leaving short minutes. I tend to write way to much down which takes too much time according to the company.

What's your opinion on taking minutes from a recording?
Hi David, that's a very good question. There are a few things to consider: [1] when recording a meeting, make sure you have everyone's permission to do so. It would be terrible to find out you shouldn't be recording the meetings after the fact and getting in trouble for it. [2] Although recording would provide you an opportunity to capture ipsis litteris what every person has said, I personally prefer to capture the decision points and sumarize the conversation as it happens, than listen to the recording producing a verbose someone-said-this-the-other-person-replied-this type of minutes. [3] I would prefer to capture the information at the moment of the discussion and have the opportunity to ask people for clarification. This benefits other people in the room who may also be confused with what's being discussed, but don't get a chance to ask questions. You could always use the recording later on to provide a bit more accuracy to your notes, but nothing replaces the interaction as it happens. [4] and final point, minutes are not written on stone and you can always circulate them with the meeting participants asking if there is anything they want to add or remove before you archive the minutes or distribute it to a wider audience. 98% of the time, no one will say anything, but when they do, it's usually an important point that was missed or not captured correctly. So, that's it. My two cents. If you go to my page and download the template, you'll receive a sequence of emails with a few more tips. One of them addresses the issue of recording in more detail. So I agree with most of you reply and actually use most of these techniques now. Asking questions during, sending out a follow up email to confirm. It is good to speak with the boss/client on what kind of minutes are expected. Bullet points from a detailed meeting or detailed notes about the budget. If nothing is said, more minutes the better. There is also being a human being, haha. We're bound to miss a few things, so the recording helps with that. Most meetings are on zoom or teams today anyhow. So recording is not as big a deal as before, so long as everything is kept confidential.
@@daviddavis8053 It seems you are perfectly on the right track. Using the Zoom recordings to check and recover important information is the way to go. The only extra thing I do differently is to flush (i.e. delete all) the recordings from time to time. Maybe it is just me being overzealous, but I don't like keeping these files indeterminately, especially if I don't need them anymore. I feel you never know where they will end up months from now (let's say in a case of a tech breach) and I'd rather keep private information private. But, that's just my process. It is very helpful before I jump to my next work of doing minutes taking for the first time. But can you help clarify how to differentiate the meeting notes from action items and agenda items? what exactly are to put in the meeting notes section? Thank you!
In the meeting notes you just summarize decisions, or discussion points people had during the meeting. This is something like creating a point of reference, so the participantes can refer back to the minutes if some discussion arrizes. For example, someone asks you, "when did we decided this?". You can look back at the minutes and say "we did in such and such meeting, when we talked about a, b and c." or say "actually, it seems we have never decided anything about this. On day x, we talk about a, on day y, about b, and on day z, about c... but no decision was made. remember that?" So you joggle peoples memory through the minutes. Get the idea? In regards to action items, as the meeting progresses, whenever someone becomes responsible for something, you note it down. Many times, when you get at the end of the meeting, people will appreciate if you read a summary of all the actions and who is responsible for them. This will help keep things organized for your manager, too. Notes are summary points and decisions. Actions are tasks assigned to people. Cheers!

just use tldv.io for Zoom or Google Meet and you're set. Half the team doesn't even need to attend the meeting cause the recording + timestamped notes work well. My team is literally cutting their meeting time (attendance AND post-processing) in half with that. but yeah, i guess it's also a piece of just sheer training and discipline in this. it's a hard game folks
Thanks for mentioning tldv, Rolf. This is also a great way to do it. In your case, you and your team probably know how to properly set an agenda and have a straightforward way to manage the discussion during the meeting. My idea here is just to show how I organize my minutes, so people can create their own way of doing this. More formal environments may require a more old style minutes. Others, not so much. My minutes template is just a starting point, so feel free to use as much and and as little as you want. Feel free to adapt and use the best way that fits your needs. It’s great to hear about your approach.
