I'm in the process of starting my own bookkeeping business. I've over 30 years of accounting experience in the private sector. How did you deal with the food costs? Did you count it as Cost of Goods Sold (COGS)? Also, thanks for talking about Excel. I was under the impression that you had to deal with QuickBooks Online for Accountants (QBOA). I thought it was a mandatory type thing. I created an accounting system in the Excel environment (chart of accounts, trial balance, financial statements, etc.). It's not as robust as QuickBooks of course but it works for a small business.

I set up the google sheet from your template but I can't change the number in the columns. It only lets me change the D column to 1000. How do I change this? If I enter my data here, can I save it, or do I need to start from the beginning on a google sheet?

I find your very easy to listen to. I was using QB online which I found difficult to do and I wanted to see how your system would work for a bank statement, and two credit cards. Does your system create balance sheet and P&L sheet?

Thank you for this video. It made this crystal clear for me. I love this type of video outlining exactly what you can do to organize the books. More hands on tutorials are requested by me and I'm sure other as well. Keep up the good work and May continue to bless you and your family. 💟

Thank you, Rachael, for this video! Really, as a senior citizen it was one I could follow, it gives me what I need, simply enough, and although I had to figure it out on Excel, I’m still grateful for the setup. You are a great teacher. Wish you’d carried on with these, but I know how hard it is as I’m trying to keep up with my own channel. Thanks again.

For anyone wanting to follow this but convert to Excel, here’s what worked for this newbie. When I saw this video was 2 yrs old, I wondered if it would still work for me… esp as I converted her free Google sheets file to Excel, as that is my preference. (I am new to this, can’t afford a bookkeeper, Quickbooks etc, and am trying a new online income source just to survive.) The Excel set up is already different at the first stage is … data validation. After an hour of struggling, and looking at the formula in the free converted sheet from Google Sheets, I realised I needed the cell range of the categories that she cut and paste into her data validation step. I went to the P & L sheet and first typed those and set it up, in the way I wanted them. Then on the Transactions sheet the data validation setting in Excel takes those cell numbers. Bingo. First hurdle conquered. The next hurdle was the sumif formula. I tried for a l o o o n g time, but all I got was error messages. Tried reading MS help pages, it’s all Greek to me. Then I realized that Excel actually walks you through that formula, by highlighting the part you’re working on. And it LOOKS the same, so I was really confused! But by pure good fortune, I happened to notice that (because I clicked on it while typing the formula) it put the name of the Transactions sheet into SINGLE INVERTED (‘sheetname’) commas! Bang, it worked. I typed =sumif into each cell and copied the code each time, changing the name of the category in the string. Donkey work, but hey, it was working, and I was not about to try something different at that stage. 😅 Later, I realised I’d omitted a category… when I inserted a row into the range on the P & L sheet and added the category, Excel auto fixed the validation data on the Transactions sheet.

All I’ll say is thank you for this video! I’m new to learning bookkeeping and I’d like to step into it and run my own business doing it. But I won’t lie, I often feel like it’ll be too difficult for me, but because you made this video showing what quickbooks does, my worries are a lot lesser now.

This is really good, I am currently studying to be a bookkeeper + Payroll advisor and surprisingly enjoying it, but its this type of content I needed to find, bc how do we enjoy it all, but then need to take testing and what to know before you get there, right? BC Intuit has a way of asking you questions in a different way, but applies to the topic in several different ways, so if you misstep you could get it wrong even thought you know the answer on HOW you learned it the the training. We all need a hands-on approach to learning QBO, there are tons of lessons on how to do it, but ACTUALLY doing it with no clients can be a bit of a tricky thing. So this video is great to put us in the mindset of what to expect - at the very least... YOu can usually take to clients very intelligently, but putting the skills into ACTION is the next step we need to fail and learn from so we get it right.

Here's what starting up new is like: 1) you're at the Grand Canyon - on solid ground. Everything is familiar: what you're doing, why, and what the next day looks like 2) there is a walkway across the canyon; you step onto it. You walk halfway across (don't look down) 3) the park workers start working on the step-on point of the walkway, and the step-off point 4) you are now on 100% unfamiliar ground: - what does tomorrow look like? - why on earth did I step onto the platform? - I'm in a situation that is 100% not familiar What you learn is something everyone has: "creature of habit" of daily behaviors on autopilot. Turn off the autopilot and attain the 'stranded' feeling out in the middle of the canyon, on the 'no-longer-connected' walkway and very much of life is new. Most of us, if we're going to introduce new stuff, do it incrementally. Too much change is a PITA (this is why moving has the sort of 'unhappy' or 'unappreciated' vibe). So, there is something called 'grit' where you're out on the walkway, and you say "fine, I have faith the workers will finish and re-connect the walkway to solid ground again at both ends and until then, I'm staying busy with new stuff" The magnitude of 'grit' you need probably varies depending on how big an effort. I just read the story of Tito Beveridge, founder of "Tito's Vodka". In 1997 with no business degree, and a background as geophysicist and mortgage broker jobs, and zero distillery know-how, he taught himself how to make vodka. His networth in 2024 is *_six billion dollars_* I know what kind of suffering and wondering and anxiety about the future this dude went through. Talk about a bunch of shortcomings. "I don't know how to make vodka, I don't know anything about business, let me teach myself to make vodka and sell it" I don't know about you, but I have an endless tape recording "is my income consistent to pay for everything" that puts a check on 'grit.' But I still did it. I haven't had a corporate job in over 20 years, and have done well. But wow, not easy. The 'grit' part can be learned. The article I read is "Bert Beveridge" in Forbes, and the date at the top of the article says Bert Beveridge $6.2B Real Time Net Worth as of 6/6/24 #489 in the world today I think you just have to do it and have faith the workers will re-attach the walkway. .

I know this is an old video but I have a question that I hope doesn't sound too dumb lol. When you were looking at the receipts, how are you able to tell what everything is?? I've looked at my own personal receipts and still couldn't figure out what some of the abbreviations meant 😂 obviously if it's from a grocery store or some place specific like that, you have a better idea. But if it's some place like Walmart, it could be anything.

TLDR: Using free tools like Google Sheets and Excel, business owners can create visually pleasing and easy-to-read bookkeeping templates to accurately categorize and track expenses, ensuring proper deduction and efficient bookkeeping. 00:00 🌿 Use free tools like Google Sheets for simple and effective bookkeeping, with separate sheets for each month or one sheet with categorized transactions. 03:24 🌿 Create a visually pleasing and easy-to-read bookkeeping template with columns for transaction description, date, amount, and transaction type, using data validation in Google Sheets to categorize transactions according to IRS regulations. 05:43 🌿 Create a list of tax categories for transactions, paste it into a cell, and save it to use as a drop-down list for categorizing transactions, ensuring accurate receipt categorization for proper expense deduction in bookkeeping. 08:44 🌿 The speaker shows how to use Excel and Google Sheets for bookkeeping, including inputting transactions and using basic formulas, with a tip on tax-deductible expenses for business owners. 12:32 🌿 Use a simple bookkeeping template to categorize and track business expenses and profits without going back and forth between different sheets. 14:37 🌿 Bookkeeping involves using the "sum if" function to add numbers together only if certain conditions are met, by looking for specific words in cells and then adding together the corresponding values in another sheet. 16:53 🌿 Use a simple formula to track expenses by category in a profit and loss statement, including bank charges, interest, and insurance, and create a template to automate bookkeeping tasks. 20:24 🌿 Use the free template to quickly categorize transactions and make changes without going back to the original sheet.
