    @leila Why isn’t OneNote sync’ing with Outlook on IOS? I am heavily reliant on onenote to work through my emails and other MS Office docs, and I can no longer use ONeNote on the go from my iphone or Ipad

    @@thathappyrat I have also used it for years and never experienced losing data. But since the notes are stored in my OneDrive, it might be possible to lose them if they get deleted for some reason.

    @@thathappyrat Yes a small part of my data, but that's only because I went through the trouble of manually copy-pasting data from my computer's one note and into the note in my cloud, since the one there only has page titles without the content, and manually write add to it the data from my one note on my phone, since the thing stopped to sync. If not for that, I would have lost every thing when I upgraded to a new computer. It was such a pain that I stopped to use it.

    onenote is the best, been using it for years. use it pretty much every day, though i hardly touch any of its features. just a great way to keep information available between pc and phone so no matter where you are you have access. personally i prefer the windows 10 version, just quicker and simpler for basic functions, but the version that comes with 365 will be fine once they retire it.

    Great explanation. Clear, thorough and easily understood. I use all versions including inking on my Surface, iPhone, iPad. Each has its strengths. Synching is awesome. Be great to have the best of all versions across platforms. Thank you for this update!

    Thanks for this great content, Leila! I found my OneNote (2016) and my old .One file which Microsoft reported was in 2007 format. I just upgraded it to 2010 format. But all of the old notes are still there. Glad that Microsoft will keep supporting this in one way or another.

    Splitting features across two versions of OneNote is bit frustrating. Hopefully they will have One OneNote that has all the features soon. Maybe it could be called TwoNote 😊

    They really need to consolidate. The split was awful and it's a damn shame because OneNote is a package with no real direct peer. Ditching UWP and continuing from 2016 is the right move for the future, imho. Hopefully they get back to actully improvng it once they get past this 6 year long clusterduck.

    My experience is exactly like you said. I was super confused as to which one to use a few years ago. The desktop one had insane functionality compared to Windows 10 that allowed me to really control how everything looked in my notes (even as far as page size), but they seemed to only push and update the Windows 10 one, so I went with that one. I’m glad to have found out from you that I should migrate back to the other version. I thought the new Journal app was the only thing left for a moment 😭 (also a good app, but *very* limited). Thanks for this!!

    I've been a OneNote for Windows 10 user for a couple of years now as a college student. I didn't even know of the original OneNote 2016 version because the UWP was already installed on my laptop. I have to say, it has everything I've needed for notetaking and sharing. I have never struggled with the app and will continue to use it until I graduate in 2023. I will say, I mostly use it for the inking feature as I use an iPad and 2in1 laptop to write my notes.

    Agreed! She does a much clearer, detailed, richer explanation that makes the software easier and more enjoyable to use. Plus features we never knew about or maybe just found confusing to use. I’ve been using Microsoft since Windows 3.0 and Microsoft’s “improvements” often aren’t.

    I agree sometimes their improvements go backwards like dictation on Word prior to this most recent update which is fantastic the one before had a timer that the user couldn’t change so it would turn itself off mid sentence. Very annoying if you were dictating away and hadn’t noticed that it had turned off. Plus it didn’t hear your words correctly and would contract words like social to soc. Very annoying. Anyway I complained every time I used it, but they seemed to have listened because now I can find no fault. It’s perfect, until the next update!

    Yeah the features in OneNote 2016 like task sharing and use of tags are more important to me than the inking or text to speech functions for the Win10 version. I am glad that MS listened to feedback for a change. IT seems like it was a internal power struggle between the Windows group and the Office group at MS. Thanks for the overview Leila.

    LOVED the Passport renewal analogy!! That was precisely why I chose NOT to use OneNote during Graduate school and stuck with Evernote. This was a great overview of the history and breakdowns of the feature changes. I only recently gave One Note a second chance, and I am eager to see how it changes moving forward. Definitely wish they integrated a Code block option like Evernote's though. Well done, Leila!

    Excellent! I have never liked One Note for Windows 10 even though it’s installed on my computers. I continue to use the 2016 version and I’m delighted that it will become once again the primary version. Thank you for that information.

    Yes, this is the killer feature for me. I actually bought an iPad Pro and Apple Pencil purely on the strength of its OneNote support. (i.e. I spent over £1k to be able to scribble on my OneNote docs! I use it for other things too of course... but mainly OneNote.)

    I’ve learned over the last couple of decades to NEVER jump on Microsoft’s next great plan. They almost invariably lack features that were in the older versions or are more of a “we hope it goes our way” philosophy which is bad for longevity. There have a been a long line of questionable decisions made, I have to assume, by people who don’t actually USE the products. The one saving grace is that they’re willing to backtrack when it becomes obvious that it’s not going to work, unlike some other companies!

    "decisions by people who don’t actually USE the products" - that is _always_ a bad argument. How _one_ person uses a product MUST NOT shape development for ALL. Instead, any large company has tons of user data; they know how people use it. M$ strategy here is though to, harder than many others, try to _shape_ (force) usage.

    Now that explains my confusion when I was still using Windows 10. 😆 I hated the Windows 10 version I just switched to using Outlook for taking notes (saved as drafts). 😅 I should probably start using it again now that I see the app installed on my PC is the 2016 version. Thank you, Leila! 😃

    I love OneNote. Not too many people know about it. I show my coworkers how easy it is to keep a daily log and organize data. I find it to be the most useful tool. I've even used it to write operation and service manuals. I was upset when the so-called new version rolled back features. I wish Microsoft improved Table formatting and add more function.

    After bouncing around a few different notes apps I settled on OneNote. There didn't seem to be a perfect note-taking app, but OneNote came the closest for me. Then all this confusion about versions came about and made things somewhat difficult for me, so I've recently switched to Obsidian... and I think I may have discovered the perfect app at last.

    Many years ago, I read a review article that described OneNote as " ... if you like 3-ring binders, you will love OneNote ...". I switched and never looked back ... I use it daily. A terrific program ... many excellent features, but I am particularly fond of 'tags', 'links', and the 'search'. Thank you for the clarification ... very helpful ... and reassuring.

    You scared me with the title there. I hope they improve syncing in the OneNote, that's three only downside. Also, OneNote for W10 saved its notebooks in html format making it easy to open in browser. I hope they maintain this option.

    Thanks for taking time to explain that! Regarding the features, in my work we are doing less in Outlook and more in Teams. So the OneNote app is really just for that - notes. Tasks by Planner in teams, along with communication in Teams is an improvement to legacy email based communications.

    I hope that there will come out an open source alternative to OneNote, that still connects to Microsoft APIs, so that we get to keep our old notebooks. If it comes out for Linux, it will be relatively easy, to use it with WSL, so the Windows users will have seemless integration.

    This video gave me a mini heart attack. I use OneNote in the extreme as a social worker for keeping track of information for cases and resources and just so many things. So relieved it won't be going away.

    Nice to hear they're pushing Windows 10 features as it is better for ink options, but the structure of 2016 (as you highlighted well) is far superior in structure

    I did not change from OneNote2016 to OneNote for Windows 10. So this is a good message - Thank you! My main reason was an AddOn (Onetastic Pro) which I found very useful

    I remember the confusion you were talking about with OneNote undergoing some weird changes. This was the moment I switched Windows for a MacBook. Then I started taking notes in Apple’s native app, Notes. Then after some time I had to go back to Windows due to work specificity. Now I use Google Keep as a go-between the two system. The problem with linking your apps to a system you are currently using is their utmost incompatibility with “alien/competitive” systems.

    Yeah. Their practice of making the 'ecosystem' hermetic is the only way they can hold users for longer given every fucking product of theirs has an incomparably better, free alternative. One is generally better staying off any microsoft product loop with how fucking undesigned, unoriginal and lacking of reliability they are.

    I been using onenote since office 2016 and is one of my daily apps, all my personal and business tasks are there, I try onenote win 10 but as you said lacks of many features but has it's perks, I was frustrated that were not combined in to one, now you have bring me hope, to bad I still have the 2016 version that only shows onenote, I'm looking forward to get the update, I love how you explained many functions and how to use all this software better every day, coming from a non native english speaker. thank you!

    I didn't know about the functionalities of the original OneNote and just realized that it's all I ever wanted. I alsways complained that OneNote for W10 is so limited in exporting options. I hope the export to PDF Option is also way better, allowing for custom formats, that will always fit everything on one virtual page.

    This reminds me to look for an open source alternative to one note. I switched from evernote in 2015 or so, and have used the app less over time. I really just need to know that it won't radically change as time goes on, so I can remain confident in the integrity of my notes.

    Two other options for note taking, task and knowledge management are Obsidian and Logseq. Both are developed using Electron just like Microsoft Teams. So, they are available on most platforms.

    I love onenote and use it every day. However I prefer the "old" onenote that has the tabs across the top. Unfortunately, there doesn't seem to be that version for Mac. Office 365 includes the windows 10 style of onenote and I haven't been able to find a version that has the old tab interface.

    I was in love with Onenote. But they had limited subfolders. In Notion you have unlimited sub folder option. It Keeps everything more organized. Once I transitioned to Notion, I never miss onenote. In fact, I can't be anymore happier.

    I absolutely love the navigation, simplicity and speed of the modern app. Teach with it all the time, and love it. Amazing for inking. The 2016 app has the top tabs and side pages...so clunky. Class notebook features are built in to the modern app. For 2016 it's a plugin. So, if the navigation is matching and the features match, great. If not...no thanks.

    Thought perhaps I'm wrong. So I tried it out. Horrible. No - repeat - no Class Notebook toolbar available by default. I have to go to a MS download site and manually install. At school, my IT admin have to manually deploy the toolbar with an msi across the network and, when they do an update to the plugin, they have to remove it and deploy a new one. No auto-update. In a class notebook, each student has a Section group. So because it's horizontal across the top, you get about 8 students of your 32 showing, with the other students in a separate extension panel. When you click on a student, the whole section structure horizontally switches to their sections. You then have to back out of that to see the other students. This is not progress. Try doing that using touch! I use my Surface as a tablet all the time, with inking. This app needs extremely hard work before it's ready to replace the modern app.

    Depends what you're using it for. As a single user, both are alternatives and the older app on Office is more feature-rich, historically. But if you're using it in a school for example like I am, the Win10 app is self contained with the tools teachers use to deploy and mark work with students. The full app requires a separate install of a plug-in which has to be network installed by IT admin each time it's updated. A pain. Plus, the in-notebook navigation in class notebooks is still in the full version and nice in the app.

    @@NorthTonawanda1 I use a Surface Pro 6, which is really good. With OneNote students and colleagues also use iPad and other tablets, which are just as good. If you have good eyes and lower budget, the Surface Go with smaller screens are good value.

    As a creative writer I've been using it since 2015 as a journal and for all my creative writing tasks. I love it. Its very easy to organize everything.

    I was literally in the process of creating a note taking app for my personal use when I came across one note. I was blown away with how similar the interface and the implementation of the note taking was. It was (I sh*t you not) almost identical with what I was creating even down to the way the notes and pages are layed out. The syncing feature I can not compete with though. I wish it was more developer friendly and would allow custom html/js coding in pages. Also I wish it could highlight code and put them in blocks. It'd be perfect for me then. I still use it begrudgingly because I know I can't compete. But there's much room for improvement when it comes to app developers.

    Until I watched this video, I had no idea there were different versions. I have been using OneNote for Windows 10 thinking this was the only version. I use OneNote extensively. I am a language and history student. I find it so useful to compile notes and refer to them. Imagine my surprise when I looked this morning and found I have the 2016 version on my PC as well. I opened it and, lo and behold, there were all features that I used to use that you referred to in this video! I shall now go back to using the 2016 version. Thinking about it, is it the case that OneNote 2016 got installed with Office 365? Anyway I am very grateful as this makes my use of OneNote even better, Just like the old days......... Well, it has to be for me cos I am stuck on Windows 10.

    I by far prefer one-time licenses. There is one feature of Word that is available only for the subscription version that I would find useful but only makes sense for the subscription. It's the ability to transcribe audio files to text. This requires some pretty good hardware, so Word uploads the audio file to some Microsoft computer. That costs money, so I understand why it's not available for one-time licenses. It's also very good, I found less than 20 errors in two files of about 30 minutes each. There were some formatting issues and a few times when the specific speaker was listed wrong but I don't count those because my specific use required a non-standard format and I would have had to change it anyway. So I definitely recommend the transcription function. I had to use a family member's subscription to access it, and if I needed it on a regular basis I'd probably get a subscription because of it.

    This is why I switched to obsidian that uses markdown. Microsoft always switches programmes like msn, Skype etc. I don’t have time to be reliant on this mega corps

    Excellent heads-up and overview of OneNote 2016 Desktop vs Windows 10. Good to hear that MS is going with the feature-rich capable 2016 version and also incorporating the best OneNote Win10 features that I use often (Dictate and Immersive Reader). Will need to keep an eye out for when the new OneNote 2016 for Windows will be pushed to Windows 10 PCs (or maybe just Win 11 PCs). There may need to be a migration process to migrate OneNote 2016 Desktop data files to the new OneNote app that is released.

    @6:25 OMG - I've been wanting Evernote to have such a feature to aggregate todos across notes *forever* - I'm not surprised someone on the Outlook team got smart! I'm really curious if you can scope down your task lists by filtering out specific notebooks/pages? (eg. show me all my tasks in my physics class notebook)

    This had me worried for a second. I'm a relatively recent adopter of OneNote, but am heavily reliant on it to keep notes of client meetings etc. since going self-employed and working from home. I hope that they give us the option to arrange sections in the OneNote app like they are in the Windows 10 version though - vertical tabs like a paper notebook make much more sense than the horizontal ones across the top of the screen.

    I very much preferred the horizontal section tabs - it works very well on a wide desktop monitor. For the life of me I didn't understand why each version had just one way to arrange these tabs. What was so difficult about setting an option?

    I keep both version open on my surface. I've found that multiple onenote windows synchronize instantly (which makes sense if they all write to the same file on your local disk but you never know with Microsoft...). So if I'm using my surface horizontally, I'm using onenote 2016 and when I'm using it vertically, I switch tabs to onenote win10. I hope they will implement the option to let the new onenote switch automatically depending on the display orientation! Alongside with manual selection ofc!

    A good portion of my undergrad notes are in OneNote... I went to college for 12 years. I saw the UWP version as a butchering of the app, and I knew they were going to phase out support of the desktop x86 version the minute it came out. And I also figured it would fail because all of UWP will fail. It's not universal, because tablet and phone Windows is a failure.

    Right there with you.....a BUTCHERING of the App. Anyone knowing what it was before can't possibly prefer the Windows 10 version. It was painful to use. Its been my GO TO app since 2008 when I did post grad studies and my entire life is in it since. I just refreshed my subscription so lemme go see what the fuss is all about.

    I used OneNote on an Atom netbook, Windows 7 (obvi x86) I still have my undergrad notes. Isn't it all on the cloud now? I know that's where I keep my work related notes. Who the fk cares what platform it's on TBH?

    I'm on a mac. It says OneNote for Mac. I reviewed several note-taking apps, and settled for OneNote - so I do hope we will see a bunch of cool features soon

    I was working for Microsoft when they announced that OneNote for Win 10 would be the default, and man everyone was disappointed. I was really hoping that ON for Win 10 would fail, because ON 2016 was already established and it was already the perfect platform to build on. Boy, I am happy how things turned out.

    I think Win 10 is a fail. MS wants to take control of everything. I don't want all the junk apps that comes along with it and I don't know Linux. I don't want to save all my work to a "cloud" If I want you to have my data, I'll give it to you. If I want an app, I'll download and install it. My PC doesn't have the capability to run Win 11. I'm hoping all those darn updates will quit for Win 10 since they now have Win11 to play with. I've never used OneNote. I am a network of one, my PC. my printer and my Smart (er than me) TV.

    @@MihaiKrieger What do you mean local accounts? I use Win 10 as my OS. What other choice do I have? Back in the 80's we used DOS, I had two floppy drives. One with DOS and application data (ROM and very little RAM) Another floppy to store data. Then Microsoft I guess was bloating things even then because eventually one floppy wouldn't hold DOS and App so it would prompt me to insert disc one, insert disc two. Then the mother of all inventions: The MOTHERBOARD!!! RAM prices soared because of no inventory. I remember a PO for about $10,000 for RAM for our newly bought $3,000 computers with learning about chips and RAM and ROM SDRAM, static boards. Our DP dept knew less than I. When I requested their assistance with all this new technology they sent down a guy who had never seen one and stared at the manual, reading with lips every word. He might have known Fortran. They had the big old mainframe computers analyzing numbers. I got two of the original Macintosh's and learned about GIF..     Thanks for the nice and easily digestible rundown. All things considered, that's a lucky turn of events. Getting OneNote 2016 for three more years means I'll at least have enough time to find a way to convert my notes into MarkDown files with links across Notebooks. Somehow.

    Microsoft should also take the opportunity to improve the Android version as well, because it's the most neglected and left behind. Lately, looks like they delivered it to Samsung, because it's very similar to Samsung Notes now. I was avoiding to use it but I think I will check it out again, because I like Samsung Notes for my personal use.

    I use onenote on my samsung tab for uni and I really dislike how it's much more limited compared to the desktop app, like they added the bare minimum, if someone has a better app to recommend I'd be glad to check it out

    I appreciate your videos. I watch a lot of them. However MS is making this app an unbelievable cluster _ _ _ _ ! It's amazingly confusing as to which version etc. etc. I wish Circus Ponies came back with their "Notebook" app. It was Mac only, but could have been made for PC too. That was a great visual notebook app.

    I'm Mac&Win user. Yes, there was a riot in my mind and I was tempted to stop using One Note. There was a time when reported a weird behaviour. But fortunely it seems to be fixed. It's the only note taking that goes smooth in the multiverse of M&W. I'm glad they're taking action! Thank you for your professional help!

    I've never been the biggest fan of the OneNote 2016 app - it always felt super cluttered and bloated. I suppose that the UWP version was missing features that some people would miss, but for me it had better performance, smoother animations, more consistency, and a far nicer design. I hope that Microsoft can bring the benefits of OneNote for Windows 10 back over to the 2016 version.

    Yeah I was vwey disappointes by that move. OneNote UWP was already getting feature parity to OneNote 2016, all while not being feeling bloated and still snappy. Probably just another year or so if it was heavily focused to be further developed it might have be totally on par if not straight up better. I liked how OneNore UWP has integration to Windows Share, almost instantaneous launch without a cheat tricks to run in the background just to open quickly, nicer animations, touch native, and UI is far more adaptable. Shame the legacy one is the one will go forward together with its bloat, yeah they can make it pretty but I wonder if they can make it as fluid.

    Hmm, not really. The OneNote 2016 is in many ways far better and has a far better performance than that sluggish UWP app. But, like Leila said, there were functions in OneNote 2016 that were not implemented in the UWP version and vice versa. Frustrating.

    @@miguelguthridge Which animations in the UWP app? Smooth scrolling - does anyone still use this nowadays? Imho, those 2 arguments are a bit poor. I just tested the UWP again and it's painfully slow, I just can't work in it. So, for me, it's the other way around: OneNote 2016 is fluid, the UWP not. The file formats between the UWP app and the OneNote 2016 are not compatible, a nightmare. OneNote 2016 is solid as a rock, we have hundreds of pages with a lot of screenshots, for manuals in our organization, it never slows down unlike Word. A note app must be fast, practical, versatile and solid. In all these years, I got 2 times a corrupted file, it was fixed easily - one can say it's 2 times too much. On the other hand, there are things to be improved, perhaps things that were implemented in the UWP and not in the 2016 version, or things like support for gif animations (interesting for manuals), a good support for printing (publishing lay-out is awful now), object related allignment like in PPT etc. Just practical things to work with, no more and no less. Let's hope they can make OneNote shine again, it's probably one of the best and easiest apps MS ever made.

    I have OneNote on my Mac and even though it just says "OneNote" in the title, I'm pretty sure its OneNote Windows 10 because of the missing features. It feels very stripped down compared to the one I have on my PC. The ability to interact and move notes between notebooks is much more fluid with the PC OneNote (formerly 2016) version. But I can still use all the ink features on my iPad so I'm happy for now. Hopefully they'll upgrade the Mac version.

    Mac line will never have feature parity. MS not only had years but they removed features on the newer version of Outlook. Onenote for Mac feels so out of touch compared to the rest of the Office apps.

    It panicked me when I saw the thumbnail and thought that OneNote might be going away alltogether. I use this program a lot and am glad that it's just the version that changing rather than the app being discontinued. Thanks for this explanation and giving me some incentive to switch over to OneNote rather than using the Windows 10 version as I unknowingly had both installed.

    The main problem with one note for window 10 are the lack of fundamental functionality such as: endless page export, custom size export or custom page size and format. They are fundamental couse it's nearly imposible to export to pdf with a nice formatting.

    I've been unable to access my OneNote notes from my new computer for over a year. So frustrating! Now I know it was the Windows 10 OneNote version that was the hangup. After downloading "OneNote" (new version -- no year code) from Microsoft, it works again! Happy Day.

    If you’re ever worried about losing your data you could export all your notebooks as your preferred file type like PDF and back it up on a different cloud service like Google Drive, DropBox, whatever. I do this for each semester so I can start with a clean OneNote every semester but still have easy access to past semester’s notes if needed.

    im so glad i still have the 2016 version. My girlfriend has the onenote for windows10 and it was a nightmare for her. She lost all her notes one day randomly the day before an exam and the next day they came back. And she says she can't even do Ctrl+F to search for anything, which was one of the best things about OneNote that I use daily to find words in my saved long presentations and even in my written notes.

    I have both installed and was a bit confused. I tend to use the minimalistic 'for windows' version because is somewhat more agile and it looks like the android app, which I use a lot. But I like best the export features of the '2016'(or just OneNote). And yeah, syncing improvements are a MUST. Opening a new Block created elsewhere takes ages.

    First I thought it is annoying to have to deal with both versions (because no version includes all features), but in the meantime I got used to it. On the 4k screen I use the 2016 version, while I have a Win10 version on the graphic tablet, or on the notebook with the touchscreen.

    This explains what happened to me when I bought this desktop in (I think) 2020. I had been using OneNote 2016, but when I tried to pull up my writing notebook in OneNote for Windows 10 (thinking I should because it was "the newer version"), it erased all but two pages of the notebook! I was devastated because I'd set up that notebook years before and had a ton of notes I'd collected for my novel series. Also, I'd just bought a new Amazon Fire tablet around the same time, and I was looking forward to accessing my notes from both. However, when the notebook was erased, I could only bring up the two pages that were left behind. I cried for days! It took me two years to be able to trust OneNote again for my story notes. The only reason I came back was I couldn't find a substitute that was free that could hold all the information I need to store. I just needed the time to come to terms with losing the original notebook and be okay with setting up a new one. I'm glad I came back to the right version! I'm totally fine with losing the Win10 version. I never used the other features in that one anyway, so I won't miss them. Thank you for this update!

    We have one guy at work that does EVERYTHING in OneNote. His OneNote size is over 200 gigs at this point, but thankfully Microsoft supports moving it to OneDrive.

    I was given soft soft as a gift in 11, and up until recently, I was so overwheld by the complexity of it that I never got past just using
