Vehicle Checklist: See how to reduce maintenance costs

The technique I'm going to explain now is called "Vehicle Checklist", the official name of it is "Operation Maintenance".
Vehicle Checklist is nothing more than you put a sheet of paper on the dashboard of the vehicle, and every driver who drives that vehicle needs to "Ok" on some specific items, such as tire calibration, if it has some burned out bulb, if it is difficult to start, water and oil level, if there is a broken bench, etc.
Whatever the abnormality that is listed on this checklist sheet, the driver will check if it is OK or, if it is not OK, say what is happening.
What happens to this practice? You, as the manager, will collect these tokens daily, and when there are any abnormalities, you will act before the problem worsens, to avoid emergency maintenance.
For example: The water level is low. The last driver used the car and, in a hurry, left the water level low. Here comes another driver, and, in a hurry, also leaves the water level low.
There is no one responsible for calibrating the tire, for putting water in the radiator or checking the oil level.
So with the Vehicle Checklist practice, you can avoid a molten engine, because of the oil level. This avoids damaging the radiator because of the water level.
This allows you to act quickly before the problem escalates. And, of course, this maintenance will be much cheaper.
Who is responsible for keeping this Checklist powered? The drivers themselves.
In this way, one driver ends up auditing the other. If a driver has marked that the seat is torn, who tore it? If the last one he directed did not score then it could have been him. And so on.
It is a practice that gives a little bit of work to the company to implement, but the result of it is very valuable and reduces costs.
Because you, manager, will often not be able to be doing an inspection on every car every day or weekly.
So you will work only on top of these checklists, and who will fill them up are the drivers themselves of your fleet.

Olá Julio, tudo bem? Eu trabalho com frota e nossa inspeção é feita pelo pessoal da portaria (que não funciona 24 horas). Uma situação que me deixa em dúvida é quando a chegada de um veículo ocorre após o fechamento da portaria e o motorista que realiza a primeira saída no dia seguinte percebe uma avaria nova. Em situações assim o motorista da saída anterior pode alegar que a avaria ocorreu no pátio (onde não circulam somente veículos da frota) e foi quando ele já não estava mais com o carro. Que dica voce dá para casos como este? Desde já obrigado!

Oi Marcelo, tudo bem. Ótima pergunta! A princípio a responsabilidade é sempre do último condutor, caso haja uma divergência, você precisa abrir um processo investigativo. Uma forma de descobrir se a avaria foi realmente no pátio em tal horário, é verificando o sistema de rastreamento dos outros veículo e concluir se algum foi ligado e passou perto do veículo avariado. A outra é através de câmeras de segurança (não sei se na sua empresa tem). Seja qual for a forma, o importante é que fique claro para todos os condutores a responsabilidade é sempre do último e que na divergência será feito uma investigação detalhada! Porém, para que você possa tomar qualquer medida administrativa, é essencial que sua empresa tenha uma política de frota bem definida. Oi @@limpezadepeleword5191, ótima solução!!! Só precisa ter uma forma de garantir que a foto foi realmente tirada naquele local e naquela data e hora, pois pelo que eu entendi o pessoal da portaria não está mais na empresa e as fotos teriam que ser tiradas pelo próprio condutor. Uma outra possibilidade é instalar câmaras na entrada do pátio para registrar como este veículo está chegando na empresa.

Olá Júlio e Caio, muito obrigado pelas sugestões. Infelizmente não dispomos aqui de serviço de câmeras de vigilância e, além dos veículos da frota, o patio é utilizado também para estacionamento dos veículos dos funcionários e clientes, o que aumenta ainda mais a incerteza em torno das causas de avarias. Júlio vou ver com atenção o vídeo de política de frotas que indicou. Muito obrigado!
