Simple Excel Trick to Conditionally Format Your Bar Charts

If you want to help your audience to make sense of your Excel chart quickly, consider color coding it. In this video I'll show you how you can apply Conditional Formatting to show different colors for positive and negative deviations. This way you can quickly create an Excel bar chart with conditional formatting based on change % or based on any logic you choose.

Comparison charts and bar graphs in Excel can be quite intimidating and force the reader to spend considerable time to make sense of them. Color can help to immediately grasp important patterns in the chart like good and bad performance. Research also shows that information that's color coded is easier understood and better retained in memory. For example if you use a column or bar chart to show deviations you can have a different color for negative values to positive values. You might choose to show the bars for negative values in red and positives values in green or any other color of your choice.
I'll show you a technique how you can apply such conditional formatting to any type of chart in Excel. As a bonus tip I'll cover how to emphasize a particular part of a chart like the maximum value by defining a logic.

Fantastic. I love your chart videos. One of a few on youtube that concentrate on formatting/presentation and clarity, which seems to get lost on many tutorials, but is vital. Most of my data is Data Model derived these days in an attempt to make it more dynamic, but I'll definitely apply this technique to the pivot chart as opposed to the normal chart (I wish the two were completely aligned). Great work!

Hello Leila, Thanks a million for all of your brilliant videos. I have learnt a great deal from you. One thing is I notice in this video there is a lot of low frequency bonk bonk bonk sound when you type or bump the desk surface. I am a sound engineer and suggest that you place a low pass cut filter in your audio signal chain, some mixing desks have a LOW CUT button, otherwise you could try turning the bass down. Anything below 100 Hz or 200 Hz you would be best getting rid of. The other thing I have to thank you for is that you don't have annoying music in the background. Well done! 🙂

Good video, some useful tips there! Conditional formatting on charts can be achieved using a little VBA. I have a simple piece of code which loops through all data points in all series in a chart and colours them green, orange or red based on their value. Happy to share if others would find this useful.

Hi Leila, thanks for your awesome tutorials, which are simply the best out there. I am currently struggeling with a competition analysis and hope that you have a solution for the following scenario. I have to make sure, that each competitor is always displayed with the assigned color in all graphs, e.g. IBM in Blue, Google in Green, Microsoft in Orange etc. It‘s really awkward to manually assign it to all graphs over and over again.
