Power Automate: Reminder Emails By Date [Power Platform Series - Ep. 16]
In the 16th episode of Matt’s Power Platform series, he takes a look at Power Automate. Matt showcases how you can pull records in from a data source and filter them based on a column value. For this example, he will use two parallel branches in Power Automate to return records that are 3 days from today’s date and others that are 7 days from today’s date. After the two separate arrays are returned, he will then showcase how to set up two separate emails one for each set of records returned.
In the emails, Matt showcases how to use dynamic content, expressions, variables, and apply to each loops for the full execution. He also throws in how to return a user’s manager information if that is something you would like to access in your flows.

after a whole day of driving myself crazy trying to do this, your walkthrough worked perfectly! thanks!
You are the first person to explain where the column name is located to use in the Get Items Filter Query! Also, great job explaining the rest of the process. Thank you!
I really appreciate the your approach to sort this problem in a simple and effective way. I have gone through many videos but all of them provided complex solution. Keep doing good work! your method is easy and precise.
What a life saver!!! Thank you so much for the guide and perfect pacing! You are awesome 🙂

Great video, took me ages to find a video like this and fixed my workflow plus gained great knoweldge going forward.
Very straightforward and logical approach. I am going to apply the technique that you have taught, to my SharePoint list reminder. Thank you and God bless your effort!

Love your work!!! thank you so much 🤗 very clear easy to follow
THANK YOU SO MUCH, I WAS SEARCHING FOR THIS FOR MONTHS!!! SUPER RECOMMENDED!
This is possibly the clearest introduction to creating reminder emails I have seen and earns a subscription. One request, could you do a guide on how you would use a SharePoint Calculated date column in the Filter Query please? Its easy to do in SP designer but Im really struggling on implementing it Power Automate.
Just what I needed! Thank you :)
Excellent demo. Thank you!
Great video. Used this for my software tracker that I host on Sharepoint. Works wonderfully! Thanks for this Matt :)
Awesome content! Thanks for sharing!
This is really a good informative video. Thanks!
Thank you for this - it's super! Two minor comments, in case it helps somebody else: 1) I had to put single quotation marks around the ODATA filter date to make it work and 2) Having two people columns in my Sharepoint list, I had some issues with only one of them showing in the list of dynamic fields after Get Items, which led to some loops of Apply to each to make it work. But - it works. So again, thank you.

Hi, where exactly did you put the single quotes? Just on the field name or on the entire query?

Millions of thanks to you brother! Watched the whole playlist in one go. Complete videos were made in very exciting way to learn. Really very much appreciating your effort and the technical stuffs shared in a very simpler way to understand. is it possible to send the emails to role instead of name, like HR, Manager, Candidate, Reviewer, Approver. Feels it will be easy to update the contact list. Even if you have a better alternative, that will be highly valued and appreciated. Thanks Again
Great video Matt as always.

Thank you so much for this! Amazing explanation. It all works for me except the last step. I can send emails to myself but as soon as I want to send them to someone from the assign to or if I want to refer in my email to something in my list, it does not work anymore. Do you have an idea how I can trouble shoot this?
This was great. Only recommendation would be to walk through “getting items” from a calculated column. This was wildly helpful though.
basically... You made my week!!!!!
A great and very easy-to-understand! If my list is customized on the PowerApps form can I still use this method?
Very Informative. It just saved me 😅
This was very helpful! But, it was suggested you can dynamically send the emails by user assigned. I have tried and I receive errors. It works just fine with a static Email but not with the "Assigned To" field. Is there another video??
This is awesome! I have a question. How can we do this in minutes? I need a reminder to be sent to the Assigned To person 15 and 30 minutes before the upcoming event in the Date and Time column.
Thanks you so much
Thank you for the Video , it was very informative. I do have a question, I have the same scenerio, however, the date column is a calculated sharepoint column. When I try to use "Get Items" I get an error message saying I can't use calculated columns. Is there a work around to achieve the same results?
Wow great thanks
it breaks if u change the 'to' email notification to the value 'assigned to', puts inside another loop...

@@grovfjord Hi, did you find the solution for this? I´m stuck in the same step... :(
Great video. I'm trying to do the same but from Dataverse instead of SharePoint. Quick question. What action would correspond to the "Get Items" one used in this video (List Rows or Get a row by ID?)
@PragmaticWorks

It would be your list rows action.
Excellent video! Will this work on calculated value from another date?

Did you find out how to solve this ?
Thanks alot the a great explanation. What happens if the user has completed the action? How does the logic understand to not send it to the completed ones
Hello, your video really helps me to understand and create a flow but when I try to get the email of the "Assigned to" in the "To" of the email setup, I cannot get it, how can you do it? without creating an additional "Apply to each?" (refer to 10:36 of your video). Thank you for your help.

for info I get more than 1 assignee per Item
Is it possible to attach attachments of each entry which get through to the email?
Very informative, I had issues with finding the correct name of my filter query. It displayed: field_3 and not the name of my column 😢
First and foremost, thank you for creating this video. It really helped me a lot since I am but a newbie. Question, I have followed all the instructions in the video, but after clicking the test I do not receive an email because I added my email address to validate. No errors also, is there anything I am missing?
Nice! What if you want to only send out a scheduled notice IF the system notices that something hasn't been submitted yet. Like if the row in the "submitted on date" column is empty?
when I try to initialize a variable the dynamic content picker doesn't come up. Does anyone know what this is about?
How can I apply this Flow by using excel on onedrive?
I'm using this to send emails out if an item doesn't have a date in the date paid column. What is the best way to add logic to only send these emails out if that field is null?
Is this possible with basic power automate or do I need the premium version?
Thank you! that was great, only downfall for me, is that even though both Get Items are in place and exactly the same, one with 3 and one with 7 days...the 3 days works fine since adding these single speech marks, but 7 days just won't play ball! I even recreated it in case there was a glitch, I keep getting BadRequest - "String was not recognized as a valid DateTime. Creating query failed." Can't make sense of it. Also while the flow runs with just the one, I get no email... :( Any suggestion? Latest Update: It now works after I amended the date from dd/MM/yyyy to MM/dd/yyyy even though my Regional settings for my SharePoint is set to United Kingdom which is dd/MM/YYY format. I can only imagine 3 days still made sense in that format whereas 7 was too high a "dd" number if read as a month (12) ... so now it works, the emails are coming through but I get the date in that US format that confuses us on this side of the pond :( If anyone knows how I can get this date issue straightened up, I'd appreciate the help.
How can I list all overdue commitments and send mail only to the person to whom those commitments were assigned?
Hi, Thanks for creating such a informative video. Actually I need your help in order to create a flow for one of my project wherein I have created a SharePoint site which contains multiple folders and added a column name with "Delivery Status". Now I need a flow which will send reminder email to users until the "Delivery Status" updated to "Delivered". Could you please help me with that? Thanks
This is great can you make a video using this technique sending data from Excel, which I am trying to do, because I will be adding data daily that will need notifications within (150,180, and 210 days)

Hello your video is amazing. How to send remainder email to different user depends on date (expiry date) condition?
Can you guide me how to adjust the field = Estimate completion date?
How do you get it to trigger an email off a date in one column when it is that day?

I figured it out, I did a reoccurrence daily and a get items with a condition statement to match utcnow but I reformatted it to yyyy-mm-dd to match the column that I had a date in. I used a Compose action to see what the inputs and outputs were so I could format the utcnow correctly.
3:20- Use negative to denote that something is late
Hi, when I run the flow, it gives an error message if no items are returned in the get item section and the flow fails. What do we need to do if there are no items returned on the Get Items section to prevent it from failing.
Hey, I have a flow that sends an email with a condition if a record is found in the list. However, the issue is that the flow sends an email to the intended user even if there are no records or dates found. Can anyone help me with how I can stop the email from being sent when there are no records found?
Hey Matt, When I test this flow, the 'To' in 'Send an Email (V2)' is erroring out stating that 'To' is "null" or "empty". Any clues? It's not empty, I'm using the dynamic value 'AssignedTo'. Thank you in advance
So, how do you send the email to the "Assigned to" person?
Can you post a new video on the same content by using data verse instead of using a share point.
I was expecting this to tell me how to create a reminder email as a date approaches, as per the dental description. Unfortunately, it shows how to create a reminder 3 days and 7 days from the event creation. Or am I missing something?

That's how I understood it, too. I want to know how to start a flow x number of days before a date selected in an item (like a library or inventory due date), and to have that flow send a reminder to the item's borrower. That seems like a more common real-world scenario to me.
I can't find Issue Tracker in Sharepoint. What am I missing?
How can I send an automated email to students before their due date please assist me your reply will be highly appreciated.
How to create a recurring flow if due date (from sharepoint)is Equal to todays date then update item to sharepoint

I get an error in the Apply to Each step that "the result of the Get Items action is of type 'Object'. The result must be a valid array."

Hi there. Here is a template to hopefully get you in the right direction. On your get items step for the Filter Query you would do something like the following. closeDate eq null and creationDate eq addDays(utcNow,-2,'MM/dd/yyyy') What I wrote in parentheses would be written in the expression builder and after you add it to the filter query input you would want to wrap single tick marks around it like 'Expression' Hope this helps.

I followed this video, and my day output is 15/21/2023. It's different everytime I run the code.
thank you sooooooooooooooooo muchhhhhhhhhhhhhhhhhh
you forgot to show us how to make it dynamic. Could you please show us how to make it dynamic ?
Flow save failed with code 'InvalidTemplate' and message 'The template validation failed: 'The inputs of template action 'Send_an_email_(V2)' at line '1 and column '2954' is invalid. Action 'Apply_to_each_2' must be a parent 'foreach' scope of action 'Send_an_email_(V2)' to be referenced by 'repeatItems' or 'items' functions.'.'. Lesson learned here was: Don't copy and paste your email body content to make things quicker. You can leave in text, but take out all dynamic content and put it back in manually. Also, being in the UK, I got additional errors because I wasn't using ISO date format, so changed dd/MM/yyyy to yyyy-MM-dd.....now no flow errors.
