Mail Merge with Grouping in MS Word by Chris Menard

Need to group records in MS Word wth a Mail Merge? It can be done using a Directory and typing in the fields with CTRL + F9. This is the longest video I have made. Most of my videos are under 2 minutes. It is so long because I had to type the fields. Feel free to use the bookmarks below. Hope it helps.

    This is really the most helpful tutorial I've found on the subject. I was able to get the data into a blank document with this formula, but not into a formatted letter. Is there another field to get it to move to the next within a letter?

    Just wanted to say "Nice Job Chris!" This function is something I've been looking to do and your solution if the closest thing I've found that works. I'm trying to use this to email / mail merge. For each row in my worksheet, there is an affiliated email address. I was hoping to send one email containing multiple records in my database; instead my code generates a email for each record. I'm getting close but will have to play around a little more. Great job again and thanks for getting me started. If you, or anyone else, could point to some Microsoft documentation about the use of the field codes, I'd really appreciate. Ta ta!

    Thank you for posting an indepth, detailed video. The only critique i have is to have a downloadable version of the word document when finished. It's hard to see some of the details through the video.

    Hello Chris thanks for the video I was able to get multiple rows for customer orders. I have some additional fields I would like to add after the group is complete like subtotal, tax and total. With the current demo code if I add the {MERGEFIELD orders_subtotal} it will be repeated on every line of the grouping. Is there a way to escape the grouping and add these fields directly after the grouping but staying within the same mail merge?

    To insert fields with brackets use Insert Merge Fields from the Ribbon's menu Write & Insert Fields just to the right. It is possible to Right click and use Edit Fields to enter IF and MERGESEQ and SET (I deselected “Preserve formatting during updates”) To format money, add \#,##0.00 within the Sales field at the end. Use Alt F9 to toggle fields and F9 to update after turning toggling off

I’ve used this example to create my own at work but now we’re migrating to google docs and sheets and I’m at a loss to figure out how to make this work in this new environment.     Chris. Do you know the record limit for a mail merge? I keep trying to edit individual document and the application keeps crashing. Consequently, I'm trying to create a directory of healthcare provider and I'm trying to group by state, county, specialty. I'm just worried that my dataset is too large.

    Hi Chris, Thank you for posting this. This has been super helpful. Do you know if it is possible to sort by one field, then another? For example, I have a spreadhsheet that I need to sort first by years, followed by department and then list all the people applicable for each category. Thanks! Jen

    At 1:39 in the video, you can Sort by 3 fields. The first field is the main priority. Let me know if you need more than 3 fields. - Chris Menard

    Hi Chris, Thank you for quick response! I did add the Department as the second field. This is how it looks when I do the merge: 5 Years HR - Employee 1 HR Employee 2 Engineering - Employee 3 Engineering - Employee 4 But this is how I would like it to look after the merge (just didn't know if it was possible): 5 Years HR Employee 1 Employee 2 Engineering Employee 3 Employee 4 Thanks!     Jen....Let me play with this question. What you are trying to do is group by 2 fields. The 5 years is the 1st group and the Dept (HR and Engineering) is the 2nd group. By chance do you have Microsoft Access? I know this can be done in MS Access, but I'll still try it in MS Word.

    I have a similar situation that involves seminar presenters giving more than one seminar on various topics, different times, and days. I have one letter that needs to be sent to each presenter and include all of their seminars (rather than merge the same presenter different letters); is it possible to incorporate the same formula in my example as well?

    Hello Alan. Here is what I would do for your example. You can do this using Word itself, as my video shows, but there is an add-in created by Graham Mayor that handles this much easier in my opinion. Graham called it a Many to One Mail Merge.     Any chance you can do something like this, but in a table with headers going across the top of the table? I have to create individual documents for people with a table of their information. Example - you want to send 1 email to the city corporate office with a table of employee and sales. TIA!

    Thanks so much for doing this video. Any ideas on why my data is merging with spaces between every record? I have compared my field codes to yours many times and have double-checked my page formatting and even checked my data. The multiple records are separating correctly, but there are spaces between each record. Any suggestions?

    The spacing is set to single with no "before" or "after" spacing.

    Thank you for taking the time to post. I followed the formula exactly, but I am only getting one record per employee per page; this means that the same employee on on multiple pages with the relevant data from each row record. I'm trying to get multiple records per employee. I used the employee's name in the place of city, and the two bits of information i'm looking for in place of sale and name in your example. Thoughts?

    I have the same issue and it seems to me that the only explanation that exists, even on the Microsoft help website, is from developers suggesting you use their add-in, which is presumptuous at best and dangerous at worst, given the heightened need for cyber security. I work for a government agency and there is no way I would be able to install an add-in. It's extremely frustrating and with as much as I have been googling and reading about the issue as it has existed for years, it seems to be something that would be easy for MS to add as a regular feature.

    This was happening to me as well, but when I changed "Start Mail Merge" to Directory then it worked as shown. Not sure that is the same for you. This is my second day struggling with this until I found Chris's video this morning. Thank you Chris! Too bad you can't send a Directory merge to email.... :( Dust off my power query code!

    The way I did it following Microsoft's instructions, it is not possible. The only suggestion I have for that is to use Graham Mayor's Many to One Mail Merge Add-in. I have a video on that also.

    What's the difference between Directory and Email Merge? I did it as Email merge and it made a page break after every row, but as a Directory it made no page breaks at all.

    An email mail merge will email each person a personalized emailed. It works with Outlook. A directory will print everything on one page.     I'm trying to make it work for DAYS and for some reason it still does not work :( It does not group my data for the recipients, I've verified this code countless times already :( is there some conditions outside coding itself that must be met for this to work?

    Hi - When I go to the MS support article, I can't see the field codes. I only see the output. What am I missing? Has the page been updated? I tried different browsers. Was hoping to copy and paste the code from the site.

    Agreed. I cannot see the code, either. Just where it's supposed to be. I gave MS feedback at the bottom of the article to let them know. This video was posted less than a year ago, so it's surprising it's gone. I noticed the KB article links to the same steps in earlier versions of Word. I clicked on Word 2000, and the code is there, so I'm going to try that and hope it works.

    You can use the Many to One Merge on my Merge Tools Add-in that is contained in the MERGE TOOLS ADD-IN.zip file that you can download from the following page of my One Drive: bit.ly/1hduSCB Extract the files from the archive and read the: “READ ME - Setting up and using the Merge Tools Add-in.pdf to see how to install and use the various tools. Using those tools, it is possible to perform the following types of merge that cannot be done with Mail Merge “out-of-the-box”: ● Merge to e-mail messages either with or without attachments, with the documents created by the merge being sent as either Word or PDF attachments or as the body of the e-mail message. ● Merge to individual documents in either Word or PDF format with the filenames being supplied by the data in one of the fields in the data source ● Many to One type merges, which can be used for creating documents such as invoices where there are multiple records in the data source that have common data in one of the fields ● Merging to a document that will include a chart that is unique to each record in the data source ● Merging a document with Content Controls ● Merging a document that contains Legacy FormFields ● Duplex Merges ● Merging to a printer that will collate and staple the output created from each record in the data source. The requirements for using the system are: ● The mail merge main document must be of the Letters type, though that does not mean that the output cannot be sent as an e-mail message where relevant. ● For the Many To One, Merge with Attachments and Merge to Individual Docs utilities, the data source may be either a table or query in an Access database, or in the form of an Excel worksheet and that worksheet must be the first sheet in the Excel workbook. If the data is on some other sheet, you can easily move that sheet so that it is the first sheet in the workbook by clicking on the sheet tab and dragging it to the left. For the Chart Merge utility, see the Mail Merging with Charts document that is included in the Merge Tools Add-in Zip file for additional requirements for the data source for use with that utility ● For a data source in the form of an Excel worksheet, the field names must be in the first row of the worksheet and there must be a field name in all of the cells in that row that are within the range of columns that contain the data. ● For both types of data source, the field names must contain only alphanumeric characters (No @,#,$,%,&,(,), etc) and the field names must not start with a numeric character (0-9). The number of characters in the field names, including spaces, must not be more than 40 .

    Microsoft shouldn't make this so hard, I followed the 3 tutorials in regards to mail merge grouping and still can't get it to work as it should. This is BS
