Mail Merge in LibreOffice

In this tutorial we take a look at using LibreOffice to perform a "mail merge". Mail merge allows you to take data you store in a spreadsheet or database, such as the names an addresses of your contacts, and integrate them into a text document. This process is used frequently to create mailing labels, or to personalize letters for mass mailings. I tried to make the topic a little more interesting by turning it into a game of Madlibs. Though the format is a little different, the process is the same.

    Love the way you give a running commentary on each step as you are doing. It makes it so much easier to understand what is happening and what is going on. If you are not already a school teacher, you should think about changing careers -- assuming of course, you like lots of aggro and frustration.

    Awesome this tutorial have save my life! Usually I don't work with libreoffice but this the only option available in my job. And as developer the manager ask me how to generate like a thousand of letters, thanks to this tutorial i did it in 10 minutes.

    @linktwo Thanks! Connecting to a database server is pretty much the same as using a spreadsheet. When you create a new database using LibreOffice Base, instead of selecting "Connect to an existing database" and choosing "Spreadsheet", you would select the option that applies to your database such as "JDBC", "ODBC", or "MySQL". You will then also have to enter the url of the database and your login credentials (username, and password).

    i just started using LibreOffice 2 days ago. this tutorial really helped a lot. i was thinking of using mail merge to create individual certificates. is there a way to add a new step (after doing the mail merge and exporting as pdf) - to email the individual pdf do their respective owners (email addresses provided per record)? thanks.

    what about opening an existing MS Word mail merge document with Libre office? Doesn't seem to work and I don't want to have to re-create every merge that I've ever created with word. Also, is there a limit to the number of merge fields with Libre like there is with Word? It would be awesome to create mail merge with 100+ fields and "if/then" capability

    Thank you. This video is concise and simply laid out. I recently ran into a problem that others may have encountered: Trying to consolidate a plethora of contract and invoice templates, I discovered that if I moved any source document (.odb or .ods) out of it's original folder, the templates wouldn't locate them. I can move the templates without issue. If anyone knows how to reassign the location of a database and it's corresponding spreadsheet without having to reassign all data fields in my templates, please let me know.

    @cpguru21 I haven't tried this on a data set with 1000 records. Even if your document is only 1 page, you will end up with a 1000 page document. I will likely take a while to generate all that, but I'm sure its faster than doing it manually. If you are having trouble, I would recommend breaking up your data set in to smaller chunks. Perhaps you can try 250 records at a time.

    HELP! I'm all the way through, but when I get to the print stage, the Mail Merge dialogue box doesn't come up to complete the final merge before saving/printing to a PDF.

    I reached till adding fields and when i click on the desired word to be replaced with a field, it is not working. The field in the database is not showing in the doc. Pl advice.

    make sure that your table starts from the first row and first column, even i had the same problem this worked for me.

    Mail Merge can be done by just using Writer and Calc. No need of base. Complicated explanation.

    Hi Mr. Pelaez, I realize that this video is from quite a while back, but I am hoping that you may still receive information about comments to it from time to time. This is really a great video. It shows off the potential for so much more than mere address labels when working with the "mail merge" feature of LibreOffice. Catalogs, inventories, notebooks, and all kinds of publications can be potentially created with the features that you have shown here. I have two questions: 1) Is there an "end record" or "next record" field or field code that can be entered into Writer to get Base to provide more than one record per page in Writer? If so, how do you do it? 2) Is there any known way to do a "mail merge" with LibreOffice Draw and have it provide more than one record per page? If so, how do you do it?     This is a great tutorial. How will LibreOffice handle a data set of around a thousand lines or so? 3 lines are easy, but not realistic. Does anyone have experience with a large data set? Thanks!

    I'm not that is possible. LibreOffice does not have an Outlook replacement. There are better solutions out there in my opinion, and if you are on Linux you could even script your own using sendmail and bash. You may also want to look in to a service that will do this for you such as mailchimp.

    Hi, great tutorial! I am using LibreOffice 5. I got to 6:40 seconds without problems but clicking on the header does not work for me. The contents in the writer document are not being replaced by te contents from the database. (th)e actions from 6:40 do not work,) I have a second question. Your 'final product' is a report with 1 record per page but considering there's plenty of empy space how can I print 2 records per page? Tanks! Greeting from Brazil

    I'm glad you got it figured out. In answer to your second question, as far as I know, a single record will only result in one document. There are some things you can try however to accomplish what you ask: If it is a matter of printing less paper you may be able to reduce the document size by half, creating the merge, and then changing your printer settings so that two pages are printed on one. Your ability to do that will largely depend on the features offered by your printer driver. The second option you can try is to transform the data so that you are displaying two records per row (essentially doubling the number of columns). For example, if your data is a single field called "Name1", you can divide your data in half and copy it into a second field called Name2. You will then have to create your template so that it will show Name1 on the top half and Name2 on the bottom half.
