Learn how to create and update a list of tables or list of figures in Microsoft Word. Note that Word calls a list of tables or figures a "table of figures."

    This was clear, slow enough to follow, and explained where I can find more options. Thank you. I have a question. I need to insert a regular TOC for my document with the maps and figures TOC. Are they separate, or will "mix" together?

    That is an excellent question! Since all tables within a document are generally considered to be "equal," I'm not aware of a way to automatically divide them within the list of tables according to levels. However, if I stumble upon a solution, I will be sure to post that information. Thank you for watching!

    Thank you, Erin! I was just wondering though how this would work for APA 7 since the label is now a two-liner. I am so stuck on creating the list of tables because of this issue.

    Thank you for watching! I just ran a test on my own software (Word 365 on Windows 10) with a two-line label. When I created the list of tables, Word automatically made it one line in the list. Hopefully it will do the same for you? If not, Word will normally let you manually edit list entries without breaking the list functionality. I wish you all the best with your document!

How can I change the list of figures settings, so that there will only be the labels and numbers *without* the full text of the caption? Thanks again!

    Great question! The trick is to insert a Style Separator after the number within each caption (in the text, not the list). Insert your cursor after the number and then press Enter to create a regular paragraph break. Press your back arrow (not Backspace) to move your cursor back to “Figure #.” And then, press Ctrl + Alt + Enter to insert the Style Separator. The lines should go back together. Finally, update your List of Figures as you normally would. I wish you all the best with your Word project!

    Generally, you can select the table and then press Ctrl + C to copy it. In the other sheet, place your cursor in an empty cell and then press Ctrl + V to paste it. I hope that helps!

    Thanks so much for your videos Erin. They are so easy to follow and crystal clear. I have been using your instructions to add captions to the tables and figures in my thesis. I had a query though - I neglected to add a caption to a figure in one of my chapters. How do I add a caption with a specific number? When I try to add a caption, it comes up with an automatic number that is not correct for that figure.

    Thank you so much for watching! You can usually fix an incorrect figure number by selecting just the number, right-clicking, and then selecting Update Field from the shortcut menu. This should bring it in order with the figure above, and then correct the numbering for the figures below. One caveat: this will affect all the numbers in the document or section, so you may want to try it on a copy of your file rather than the original--just in case! :)

    @@erinwrightwriting - Thank you again for responding so quickly. I have used APA 6 style and have numbered my tables and figures from 1-20 consecutively. How can I create a list of tables that will allow me to identify chapters (as in to identify in my list of tables that Chapter 1 has tables 1-4, chapter 2 has tables 6 and 7 and so on) and the actual title text of the table? As I have used APA 6, the table titles are on the next line. Can I manually edit the list of tables created in word or would it be better to create the list of tables manually? I would appreciate your advice on how to make this work. Thanks in advance

    @@geetapradeep2547That is an interesting question! Do you want the list of tables to show the chapters as subheadings (as shown below)? List of Tables Chapter 1 Table 1 Table 2 Chapter 2 Table 3 Table 4 If so, it would likely be easiest to create the list manually because Word's automatic list will likely break if you create a line space between the list entries. Best of luck!

    Great question! Automatic Table 1 uses the heading "Contents" and Automatic Table 2 uses the Heading "Table of Contents."

    Thank you for watching! The list of tables or figures is clickable in Word by pressing the Ctrl key as you click the item in the list. Unfortunately, there is no automated way to make the list clickable in a PDF. However, you could manually create an internal link for each item.     Hello, thank you for watching! Unfortunately, I can't be sure what is causing that issue in your document. However, my first suggestion would be to turn on Show/Hide in the Home tab to show your formatting marks and then ensure your cursor is placed at least one line below your list of figures before trying to create the separate list of tables. I wish you all the best with your Word document!
