How Do I Send My Taxes By Mail? | TCC
What do you do when you can’t e-file a tax return? You might wonder, how do I send my taxes by mail? Well, in this video Jared discusses the method we use anytime we have to mail tax returns to the IRS or state. It takes more time than just sticking a stamp on an envelope and dropping it in the mail, but it accomplishes three things.
(1) Provides proof that you mailed something to the IRS.
(2) Proves the date the document was mailed.
(3) Proves that the IRS received the specific documents you mailed and acknowledged receipt of those specific documents.

This happened to me to I filed a 2020 return before the may 17 2024 deadline and they claimed they never received it and it’s been 8 weeks now. 🤦♀️

@@airbearx eight weeks is a kind of short time. It can take anywhere between 8 to 16 weeks for them to get it in their system. More than likely it’s just still in the mail room/warehouse. Thanks for watching and the comment! 😁
Just a little tip I learned.. do not smoke weed not even a little and try to do your taxes or you'll be on you tube trying to figure out wtf to do and still be confused after the videos you watch 🤯

Thank you very much Sir. I was about to drop off without any certified mail. But it's so hard to trust the IRS. They are jerks and sloppy. When I need them for previous years reports, they can't even find my name in their system, even if I am face to face in their office, but I always tell them, if I owed you money, you would find me in the hell, how convenient. They can't find me because they keep recording my name wrong. They are sloppy and don't care, only care to take our money.

Wait one fricking minute. The attachment order is listed on the right hand side of all of these forms?!!! What in the ... ??? Why has no one ever said this to me before. Like, how is that not something I've ever heard before. Also, thank you for all of the other tips re: how to ensure my tax forms have been received. That's super helpful and something that is really hard to get correct information on, even when I ask postal carriers themselves.

Probably never had to “figure out” the question Roscoe asked at the beginning - “what order do these go in man?!?!” 😉🤣 Just be advised that if you are mailing a return now AND the government shuts down this weekend, there will be delays on the processing of your return. Longest recent shutdowns were in the 20-36 day range. Hopefully this one won’t be too long if it happens. 😢

Generally speaking, when filing a tax return, the only thing that matters when it comes to e-filing is what last name is on file with the Social Security Administration. So if your spouse changed their name with SSA, then all one has to do to e-file is use the same name that the SSA has. Outside of that, the names on the actual forms are irrelevant. We talk about that more in this blog post - www.wilsonrogers.net/2015/02/27/name-changes-and-income-taxes/ But if could have been that when you e-filed you got an error and the instructions were to mail it if you felt everything was correct. Either way it goes, if the IRS has an issue with the return, they'll send you a letter letting you 1) know what it is and 2) how to fix it. Thanks for watching and the comment!

@@iesh6876 Gotcha. Well, the IRS will send them a letter and make them prove why they should be allowed to claim your child. If they can’t prove it, the IRS will change their return and they might owe money. Bet you they won’t do it again as nobody likes the smoke that the IRS throws! 😉🤣

Major, major THANK YOU for your videos--they are chock-full of information and super helpful! 👏 Just for clarity, I'm not seeing a "sequence" number on the 1040 or 1040X. If I am filing an amended 1040 on the 1040X form, based on previous videos, I will be including a "new" copy of my original 1040 plus any schedules & forms. A bit confused about the order for mailing.

So, if you are filing a 1040X, that form will go first (2 pages). Then the "amended" 1040 goes behind it. Then the schedules and forms associated with the amended 1040 go in sequence order which is in the upper right. It is possible to not have a return with schedules, like if you just had a W2. But just go 1040X, new 1040 and then schedules associated with the new 1040 and it should work out. Thanks for watching the video and the comment! 😉

Thanks for watching and the comment. Nope, each goes to a different address as they are two separate government entities. You will need to look up the Federal address based on the instructions in the video (go to www.IRS.gov) and you will need to send the state to it's location based on the tax form instrucitons. Hope that helps!

Correct. Nothing special with regards to including it. We don’t staple it to the return; it’s just put on top “loose” like a cover letter. Thanks for watching and the comment!

The state works very similar. You prepare the return, assemble it and mail to the state for processing. If you look at the actual forms line by line, they will tell you if you need to attach a schedule or form. Make sure you include the W2s or anything else that had state taxes taken out. Mail to the address the state has in its instructions and you are done! 😉 Thanks for watching and the comment!

Thank you so much for the simple video. First year doing taxes myself. I had a question. For some reason I am not able to E file my taxes. So I was thinking of sending the Taxes by Mail and doing that payment online. Is that something I can do or do I have to attach the check while mailing the documents.

What exactly do you mean? Do you mean where to get the forms that are to be used? If that’s the case you either get them from irs.gov or you use software. If a person makes below a certain dollar limit they may be able to file their taxes for free using software via the IRS free file program. Thanks for watching and comment. Hope that helps! 😁

The IRS is backed up like all us professionals - it’s tax season. I’ve sent 3 in the past month or so and they all came back. Just give it some time, like 3 weeks. 😁👍🏾

Hello again, when you put your name year and form number in the certified mail receipt postmark area did you mean the date of the current year, or the date of the year for which your filing the tax return on? Thanks so much fir your quick responses

We put the name, date and year of the tax return. So if the form is a 2018 Form 1040, it would say J Rogers 2018 Form 1040 in the postmark area. If it were state, it would say the same except IL-1040.

Thanks for watching and the comment. We typically don’t do a cover letter to the state. Because the IRS is SO big and gets so many returns, they’re the ones where processing problems or returns getting lost often happen. Since the state is smaller, there aren’t typically issues with them processing. But if you 1) want the state to confirm they received a return or 2) their DOR is known to have issues, then feel free to send them a cover letter too. It can’t hurt right? 😁👍🏾

You can send it with your return to the address listed for mailing returns that include a payment. Yes you can. There typically is a different mailing address to send a return when using a private service versus USPS. You would still include the letters and USPS paid envelope for the IRS to send back. IRS modernized efile allows filing of prior year 1040 returns. It accepts the current tax year and two prior tax years. For example: In January 2021, 1040 MeF accepts Tax Years 2018, 2019, and 2020. If you have a return that is outside of the MeF window, then you will need to watch this video and learn how to file it via paper! 😁😉

@@camalebell9826 You can, but we would suggest putting in the cover letter telling the IRS what you are sending and asking them to send a copy back like we mention in the video. The IRS has a BAD habit of losing things when multiple items are sent in the same envelope (like 4 years of tax returns). You want them to send you something indicating that they received the 4 years (and affidavit) in case they claim they never it in the future. Good luck and thanks for watching and the comment! 😁

Hello, thank you for sharing these valuable info. So it’s been more than eight weeks now since I received back my USPS card form the IRS stamped Mar312022. However, I still have not gotten my refund? They also have not responded back to the proof letter I included upon filing my 2020 tax. Is there away to contact them in regard to this?? I am also unable to check the status using the portal?

So per the IRS it can take up to 4 weeks after mailing a return for it to show up in the “where’s my refund” portal and you can call the IRS after 6 weeks of mailing: www.irs.gov/refunds But we know that the IRS is MASSIVELY behind on mailed returns. So it might be some months before they process it. You can call the IRS at 1-800-829-1040 but hold times are like 2 hours these days. The recommendation? Just be patient. They will process it…eventually. 😉
Since you need to send all forms to the IRS, if there happens to be a LOT of forms that need to be sent, and it's not practicle to fit them in a basic envelope, is it still ok to use a manilla envelope instead? Just so I don't have to fold a bunch of forms and jam them into a smaller envelope?

It’s most certainly OK. What you call a manila envelope is the one that we call a 9“ x 12“ envelope. We use that when we have multiple years that need to be sent. Hi. Thank you for informative video. I just mailed my tax returns attaching form 8854 and other important documents. My tax returns were so thick and wasn't able to staple them. Do you think there is any risk that some of the documents may get separated during the process? Because today is the extension due date, should I mail my returns again, this time with staples?

Glad you found the video helpful. As long as they’re in the same envelope we wouldn’t think there would be an issue. The IRS commonly unstaples items once they get it on their end.

Good question. Most of the time you are attaching the W2 or 1099 to prove to the IRS the amount withheld matches what is shown on the tax return. But if it is $0 then “technically” why would they need it? As a professional, we would probably send it anyway; it can’t hurt. But just know that it’s probably not needed. Thanks for watching and the comment. You'll actually want to print them out single sided before you mail them. I've never sent them in double sided to the IRS or state, but better safe than sorry. The actual forms are single sided so we would recommend mimicking that. Hope that helps! 😉😁

Many pros will suggest two envelopes. We’ve never done it like that. We indicate on the cover letter all the years. We put a sticky on each year that reads “process separately not a duplicate return” so the IRS doesn’t mistake them for the same year. But if they only process one year, you’ll know why. So, my wife died of cancer last July and she handled all of our taxes for years. After trying to efile my return for the past MONTH & A HALF, I discovered I must file a paper return this year. Why you ask? Simple......... long story short, the IRS never issued either my wife or me a IP PIN number for 2023. Thus, I have zero way to efile. Even on the IRS website itself, they all ask for IP PIN numbers for 2023. I have no other option other than to file paper. Fortunately, I DO have a brand new IP PIN number for 2024, so hopefully I won't have this problem next year. Right? RIGHT?! I can't be the only one with this problem.

The letterhead says you enclosed an envelope, but you never mentioned an enclosed envelope in your video. The only reason I mention this is because the example envelope you were planning to mail to the IRS, in the video, doesn't seem large enough to fit another envelope. It doesn't even look big enough to fit all the forms.

You'd be surprised what "we" can get to fit in an envelope to the IRS. 😁 Please note that everything is for illustrative purposes only, including the envelope sizes. I don't know Bubba, his SSN in the video isn't real, and you'd want to use the appropriate size envelopes, etc. for your own mailing. To that end, yes, you would want to include a return envelope in your mailing if you want the IRS to send the letter back. But some people are okay just sending the returns certified so that they can track it if the IRS tells them they never received it. That way they can prove mailing and delivery.😉

You can mail it with whatever service you like. But if using something like UPS or FedEx, just read the return instructions. Sometimes they have specific addresses for “private delivery services” like those. Thanks for watching and the comment! 😁

We recommend using software to prepare the return vs. manual/by hand. If there are other forms or schedules to send, the software will generate them. You then attach them all in sequence order as shown in the video and include any form that had federal tax withheld (like W2, 1099R, etc). Hope that helps and thanks for watching and the comment. 😉

So for an old year, you would need to go to www.irs.gov and click Forms & Publications and then select the link "Find prior years forms, instructions & publications" to get the form that you need. Like a 2020 From 1040, 2020 Schedule 1, etc. When you complete your return, you would then need to attach any forms where income tax was withheld (e.g. W2, 1099-R, SSA-1099, etc) and staple that to the first page of your return. Basically, follow the steps in the video once you've completed the return. Hope that helps. Reach out via the info in the video description if you need further assistance. 👍🏾😉

@@deadinside8781 Yes, you send a copy of the perforated W2 to each agency that you need to file a return with. They use it to see how much tax was withheld per job and match that to the goal reported in your tax return. If you don’t send it, some states will not know how much you paid in. Hope that helps!

@@deadinside8781 Correct. Google where to mail 1040 as well as “where to mail MY STATE tax return” (e.g. IL, GA, CA, etc). The instructions for each return tell you where to mail them.

If you are referring to when you are mailing your Form 1040 to the IRS then... the 1099-NEC would only be attached if Box 4 Federal Income Tax Withheld has an amount in it. With regards to the self employment forms (e.g. IRS Schedule SE), if it printed with your return from the software, then yes, you would need to include that and insert it according to the attachment sequence number as discussed in the video. No. If you are not including a payment in the envelope, you send to the address for not making a payment. I have tons of receipts for my schedule C . I used the software and payed online to do my 2021 taxes, printed out all my forms. Do I mail all my receipts?

Nope. You keep the receipts as proof of the numbers you entered in on your Schedule C. For example, if you have advertising expense of $3,689.45 and you had 8 receipts for services that total that, you just need to keep the receipts. Why? Because if you are audited, the IRS will ask you to prove what makes up the $3,689.45. Both the receipt and the letter you include inside the envelope and the tax return all list the address to where it is going. It goes inside with the return. So inside we have the letter loose and then taped to it is the stamped envelope back to us that has the second copy of the same letter. @@mgacct So the good news is that because you’re due a refund, there’s no penalties for filing after the due date. Basically, you have three years from the due date of the return to file and claim the refund. If you don’t, then the US government gets to keep it. So there’s not really any proof needed that you filed on time. Just send in the taxes again using the same method and hopefully this time they won’t lose them. And then you can get your refund! 😁

Thanks for watching and the comment. Assuming you used software they might have sent you instructions on how to rectify the reject. But if they do need to be mailed, you should have the option to print the return. Just make sure that 1) your SSN is NOT redacted like xxx-xx-xxxx and 2) that the PIN numbers do not show up on the signature line. You will then send the copy with your visible SSN, ink signature and attached W2s and the like showing your federal withholding. Repeat the process if you are in a state that taxes as well (vs. FL, NV, WA, TX, etc). Good luck! 😁😉

Thanks for watching and the comment. Correct, most processing facilities do not have a normal street address. It will say Internal Revenue Service or Department of the Treasury. But there won’t be a number like 123 Sesame Street. 😉🤣 Just make sure you look up the address per our instructions. And for the ZIP Code make sure you use the zip + 4. The last four digits on the ZIP Code will sometimes tell them where a particular tax return gets routed once it gets into the building. IRS service centers are as huge as warehouses. Getting mail there doesn’t happen like your mailman dropping off a couple of pieces. These are trucks and trailers that get backed up to processing facilities for them to unload with forklift! 😁
I have a question? I have a 1041 , 1041-v, 1099 oid with a 1096 and form 56. Are they sent all to the same department and destination? Or do I send it to the place that is assigned based on the address that is stated on the back of each of the forms ?

As they all referenced the forms publications , which I have read multiple times. Thanks for watching and the comment. You print out the Federal forms, schedules and attachments. You put them in order by sequence number located in the right corner. You attach any form that shows federal taxes being withheld (e.g. W2, 1099, etc) to the front via staple. Then mail according to video. It may have been missed as it was when we went through the tax return with the highlights. So maybe watch that section again? You would do the same for your state return if you have that depending on where you live. Hope that clarifies! 😁👍🏾
