    thanks Flash - yes there's ore work and knowledge in this the meets the eye - it's taken me years to work out the best way to make Gantt charts, keeping it simple etc. Plus it's necessary to REALLY understand project management, as well as a bit of Excel.     I'm getting a masters in strategic communication and will be taking a project management class this summer.     Hi Chris, I've been in the Project vs. Excel debate for a time and in the end have come back to excel with teams I've worked on as its ubiquitous and easy to use. Until watching your video I was unaware you could create such wonderful Gantt charts using Excel. Have enjoyed this video and look forward to using this with my team! And yes...     Use conditional formatting "Greater than -1" instead of 0 and you will still have the formatting and be able to enter the digit 0 and not the letter O. You will have to create another rule for the same cell for "Cell contain blank - No format" and then check the box "Stop if true". Make sure that the other rule is above the rule "cell value > -1".

    Good question - not that I know of. but if you start with a post it note diagram - which is a great way to do it - then all you need is what I have shown - the critical path first, and then the dependencies are shown as the vertical lines ion the Gantt chart. So then you don't need to have any other dependencies.

    transposing the chart, i.e. make the vertical axis as time axis, can make the chart more compact and readable

    This is wonderful stuff Chris. I have used MS Project for plant maintenance projects and find the software a little unwieldy. There is too much going on in MS Project and can become a full time job just to run it instead of getting on with the project itself.Do many PMs use this approach with Excel ?

    Hi Chris. Very nice video to make a gantt chart in a simple way. Thank you. Also, I have a question, As you introduced the bar chart for the weeks or hours, Can we prepare the gant chart itself using excel charts to make it dynamic in nature too, so that when we change the data points like hours etc the gantt chart also updates. in that way we can also add completion timelines as well.

    Very nice. I am enjoying your content. However, can you explain or say more about the critical path in the network diagram? What makes it critical? You said it's the longest of path but there's an off shoot in that critical path that makes it longer that is not being highlighted (I.e, find local suppliers of furniture and purchase furniture)

    Hi Alex - you're right, the critical path is the longest (slowest) path. The branch involving the furniture is only 2+2 while modifying the buildings is 8, so the critical path goes through the buildings. More information here kzread.info/dash/bejne/mKZmj9qFhNPLeLA.html

    Hi ChrisGreat video just a pity you can't over lap the tasks, like start one task halfway through the week and finish halfway through the following week and so on ,have you got any suggestions for this without bulking the charts up by fragmenting it in to days instead of weeks ? thanks Paul

    There's two things there - overlapping tasks - which is easy, and going down into half a week which is more difficult. My suggestion is that longer Projects should never have tasks taking less than a week because in reality everything ends up taking a week. Round them up and you get a bit of safety margin. If you've got a short project, say it's only taking three weeks, then I would use days across the top of my chart rather than weeks. And then again you can't have something taking less than a day. Keep it simple and it will work just fine.

    Chris, your video was so informative! I have been so lost on how to use the CPM. I still have one problem. When I enter my first two dates, instead of the rest of the cells following the week timeframe, it automatically adjust to give a daily time frame. Meaning that instead of it following June 11th, June 18th, etc. it adjust to say June 11th, June 12th, June 13th How do I fix this?

    Hi Tomiko - I think the answer is that you have to put in the first TWO dates, with the second one being a week later than the first. Then select both of them and then drag the little dot in the bottom right corner. then Excel knows you want them to have gaps of a week.

    Thanks for this excellent tutorial, it is as simple as that. But... is there a way, in the "hours" sheet to differentiate between type of employees in order to see in the chart below what type of employees you are needing at what time and how many?

    Good question Dorina, and it's a tricky one! The core problem is that we have a cube of projects, resources/people, and time, and on a spreadsheet you can only view two out of the three. A database could do all three but gets too complicated to use for what-ifs etc. I think the answer is to choose your key resource, whatever is your bottleneck, and put that on the resource gantt, and plan around that. If you can manage the required resource for your bottleneck then you're OK

    The other useful technique is to copy the Gantt onto a different sheet for each resource, and just put in their hours - so many tasks might be zeros if this resources isn't involved with them. Then you can see the resource profile for each person or team and check that they are OK with the project. It is then the responsibility of each person or group to shout if all of the projects add up to too much for them. They would probably manage this by putting the workload into their diary.

    Hi Chris, your gantt chart is very useful but i have an assignment that is asking for the cash flow required. Is there anything major i have to do besides making a column for the cash flow. or does it add up like the project? Cheers

    Hi Josh I think I would add a couple of ideas - one is that there is a time lag, so you might incur costs but not have to pay them straight away - one of the differences between cash flow and profit. The other one is that you can look at income as well as costs - when you finish tasks in the project you might get paid stage payments by customers, or start to get income - these can also be added into the cash flow (also with time lags maybe, since you invoice them but there is a delay before you get paid). But all this flows from the Gantt chart, which is the starting point for seeing what happens when. I hope that helps!
