Everything You Need to Know about Airtable Forms

By default, Airtable is a relational database software. That's an important place to start, given that this post will be going into detail on Airtable Forms. Let's temper our excitement from the start - Airtable's purpose was never to create the most robust "form software" for the modern era. That said, they did include form functionality and the forms have some pretty cool use-cases.
Before building anything using Airtable Forms, it's important to start with an understanding of the software limitations. From my experience, there are three major considerations that should go into any form:
1. Will I want to prefill data?
2. Do I need to hide form answers?
3. Will my form contain conditional logic?
Airtable's forms are a bit 'hit and miss' on these three topics, so understanding the value to these functions is a vital step in implementing good forms for your data.
Beyond these three questions, it's also good to know the different options that Airtable forms make possible. Will you want to list your data in a dropdown or checkbox format? How do you make fields 'required' by people using the form? I cover all this and more in this video!

    Great videos. Informative, direct and how to. No fluff. If I create a form to collect email data, can I search the data to find a specific email instead of just searching on originator or date?

    Thank you Gareth! Very helpful. I have a question concerning multiple form views. I have built multiple forms to feed into the same table and I want to be able to see which form a person filled out so that I can group them. Is there a way to automatically fill the table with that information?

    Very helpful video. If you don't mind, I have these notes: Your front cam covered about %25 from the screen. Add a cover/logo/redirect all only if you pay. I have 14 days pro. trial and cannot practice these things! This video has a lot of youtube ADs, really annoying. But this video is a great tutorial for building forms. (:

    Great video. The prefill portion was illuminating. My question - in this example is it possible to select more than one client in the form? I'm a book publicist and often create forms for people to request different books from me. Rather than create a separate drop-down/list menu (field), I'd like to use my linked records to select multiple books. Thanks.

    You can make that option available when you build your linked relationship. In my case, I said that only one linked record could exist at a time, but you can allow multiple records to link. By doing so, you could then submit a form linked to multiple clients. 😊

    Hey Katie - great question, can't believe I didn't mention this! Yes, you can prefill multiple fields. After the formula is complete for one field, just add an ampersand and prefill again. For example: concatenate("ORIGINAL_URL?prefill_Client=", {Client}, "&prefill_Email=", {Email}) Kind of hard to visualize it here, you can check Airtable Support Docs as well for more examples: support.airtable.com/hc/en-us/articles/234982508-Prefilling-a-form

    Hey Steph, thanks for watching! I don't think you can change the color of the font in the table headers. However, you can get fancy by using a text generator to add bold, italics, or similar font changes.

    Hey Pablo! The booking system definitely *integrates* with my Airtable database, but the booking system is created with Calendly (www.calendly.com). As a meeting is created in Calendly, that information is then automatically created/updated in my Airtable.     If using an Airtable form, then a form submission only creates one record in one table. However, you can use a third party form software and then build automations in Zapier that create multiple records from a single form submission... it's advanced, but possible!

    Great video as always! Question - Because the personalized link gets kind of long, is it possible to add a field for a shortened url (example via bitly) that would automatically shorten it?

    I've tested this a couple of times and it's worked using bitly. That said, what I typically do is embed the link in an email using HTML. This way, they never have to see the link, but it still holds all the relevant data!

    @@GarethPronovost Good point! I'm thinking someday I might want to track clicks and know bitly offers a link usage analysis, so it could be useful. I'm guessing there's a zap to shorten the link.

    Hi Gareth, You said you can't hide the clients with this prefill option. But you actually can. In the form view you just move that field out to hide it. The prefill link still works as if it was there, and prevents a client from seeing other clients.

    The only caveat is the client wouldn't be able to see that it's being setup for them. Since the field is hidden. It would be great for Airtable to bring in Lookup fields that show up in the form.

    @@GarethPronovost Okay, I also recreated it and failed. The prefill still works after you hide it in the form view. I even made the other fields conditional on the prefilled field being "not empty". But now I realise the record is completed without the prefill data. So hiding works, but you don't get the Client. Its funny that the form still allows the record to be completed despite it breaking the conditional rules.😕

    Thank you for these videos. Can you add a form within a form? IE, we have users, those users can add assets to their profile, but we keep the assets in a separate table. So I want to do: Person X details other details Asset: - Asset name - Asset details Submit

    If members of our organization are adding to a database via the form, is there a way that it can be marked as new information so that I can approve it? I know that there is the option to have them email me, but for example one person added 20 items to the database and I got 20 emails!! I just would like to be able to see if things are all correct.

    Certainly, you'll likely want to correct this with an automation. You can make it so that newly created records receive a checkbox or specific status. Then go into your form and turn off the email you receive when the form is submitted.

    Great question - unfortunately the Airtable forms don't allow for this even on a paid account. To get this feature, you'd need to use a third-party form software and automate the data captured with your Airtable database.

    Is it possible to create the "New Client" while filling up the form. So basically instead of choosing the Client from the list we can create the new client (by adding the required info)?

    Every Airtable form creates data in one table only, so you'd need a form specifically for creating the new Client. Alternatively, you can use a third party form tool, build one long form, and then automate the data into the appropriate tables within Airtable.

    @@nocodetalks any 3rd party form software would work. I prefer JotForm, but there are many others such as Typeform, ZoHo Forms, aida forms, etc.

    How do I make the forms wider? I haven't found an option or a way to do it. It just looks way to close and leaves white space on both left and right. Please help me if anyone knows about it.

    I don't think so - the forms in Airtable don't allow for that much customization. However, my preference for more robust form building is JotForm (jotform.com) and they allow for this!

    Do you mean how to get Airtable? It's airtable.com Each form gets its own unique URL that you can find by sharing the form!

    Thanks for the assist Joy! Yes, Airtable did just release conditional logic with their forms, which is very exciting and has been a long time coming. However, there are more robust form needs that still aren't met by Airtable's forms. One example is logic jumps (going to a certain part of the form based on answers). Another example is conditional submission pages (going to a different page depending on responses). For these uses I like JotForm and Typeform - these are my go-to form software choices. However, if your use-cases aren't this robust, then Airtable forms will probably get the job done just fine!

    Hi Gareth. I'd like to know if we're able to then display the data from the form for the client after they submit. For instance, give them a summary like ' Dear GARETH PRONOVOST, your payment was received via ACH on 1/12/2022. Thanks for your business.

    Hi! Yes, you can do this, but not on the redirect page that's shown after the form is submitted. Instead, you can build an automation that sends this information (maybe an email after the form is submitted, for example). There is a redirect page option in Airtable forms, but it isn't dynamic, meaning it can only direct to ONE page.

    @@GarethPronovost Thanks for your response. I was actually looking at using Airtable with Figma, but to have the App take the user to a new page on the App after they submit the form. And the data is to be pulled directly from the records ( record ID, maybe?) and inserted within the text to be displayed on that next page. Seems like a tall order, maybe?

    @@misse2449 I can't really speak to Figma, but I'd suggest looking into Softr. This would allow your users to log into your app and view their own data. In this case, you could absolutely redirect them to a specific page after they took an action.

    I've looked at it now and for some reason, it's not making a lot of sense to my beginner's mind. Just one question to go from where I am to the next step at least, please. Is it possible to export a form created in Airtable into Figma so that when someone fills the form in Figma, the information they're entering goes straight into my Airtable records?     Hi Stefano - I don't think you'd want to use a form to search your results. Instead check out the views feature in Airtable which allows you to filter your existing data. Yes, it's possible to create a page of your website and to embed Airtable in that - this embedded view could also be filtered with searches as described above.

    @@GarethPronovost the point is that I am the one who build the database and I cannot allow people in the office to mess up with Airtable TABS. I know how to manage the views and how to use filters but, and here is the problem, I need my boss to search what he looking for without login inside Airtable. First because he is a dummy with computers and there is a risk he delete something, Second I need something user friendly to get results. Any suggestion? Any app around?

    True! New improvement every day! IMO the conditional logic in Airtable forms isn't very robust yet, but it's a great start!

I has created a view filtering the Information that has registered today, but the form is not the only way where the Data Base receives information. Great video
